Job Description
The Parts Room / Inventory Specialist maintains an accurate, organized, and efficient parts inventory system to support daily shop operations. In this role, you ensure parts are readily available, inventory records are precise, and all transactions are properly documented. You will answer parts-related inquiries, source and order parts, communicate with vendors for pricing and availability, receive and verify shipments, and distribute parts to technicians in a timely manner. You also monitor stock levels, establish minimum and maximum quantities, identify obsolete or excess items, and manage returns, warranty parts, and core tracking. Success in this position requires strong attention to detail, a high level of accuracy, reliability, and effective communication with vendors, technicians, and management.
Responsibilities
- Maintain an accurate, organized, and efficient parts inventory system to support daily shop operations.
- Ensure parts are readily available when needed by monitoring usage and coordinating timely replenishment.
- Answer parts-related inquiries from technicians and other internal stakeholders in a clear and timely manner.
- Source and order parts from appropriate vendors based on pricing, availability, and quality requirements.
- Communicate with vendors to obtain pricing, lead times, and availability for required parts and materials.
- Receive incoming shipments, verify accuracy against purchase orders and packing slips, and document any discrepancies.
- Distribute parts to technicians promptly to support ongoing repair and maintenance work.
- Regularly monitor and count inventory, perform cycle counts, and assist with full physical inventories as needed.
- Maintain appropriate stock levels by establishing and adjusting minimum and maximum quantities for parts.
- Identify and track obsolete, slow-moving, or excess inventory and recommend appropriate actions for disposition.
- Handle returns, warranty parts, and core tracking, ensuring all documentation and processes are completed correctly.
- Manage vendor relationships by comparing pricing, tracking orders, following up on backorders, and resolving issues.
- Perform accurate data entry for all inventory transactions, including receipts, issues, adjustments, and returns.
- Document all inventory activity thoroughly and reconcile any discrepancies between physical counts and system records.
- Maintain a clean, safe, and well-organized parts room, including proper labeling and storage of all items.
- Improve inventory processes and procedures to increase efficiency and prevent over-ordering or stockouts.
- Support internal and external inventory audits by providing accurate records and assisting with count activities.
- Prioritize accuracy over speed in all inventory-related tasks to ensure reliable data and reporting.
- Work on your feet throughout the day to receive, organize, stock, and distribute parts as needed.
- Strong attention to detail and a high level of accuracy in all inventory and documentation tasks.
- Excellent organizational and time-management skills to handle multiple inventory activities simultaneously.
- Effective communication skills to work with vendors, technicians, and management.
- Ability to multitask and prioritize work in a fast-paced environment.
- Problem-solving and critical thinking abilities to resolve inventory discrepancies and process issues.
- Basic computer proficiency and accurate data entry skills.
- Strong recordkeeping and documentation skills for all inventory transactions.
- Ability to perform physical tasks such as lifting, organizing, and stocking parts while on your feet most of the day.
- Dependable, punctual, and able to maintain consistent workflow accuracy.
- Understanding that accuracy is prioritized over speed in all aspects of the role.
- Previous experience in parts, inventory, or warehouse management preferred.
- Knowledge of inventory systems and tracking processes.
- Familiarity with vendor coordination and purchasing procedures.
- Understanding of parts identification and ordering processes, preferably in automotive, equipment, or a similar industry.
- High school diploma or equivalent required.
- Additional training or certifications related to inventory, logistics, or supply chain are a plus.
- Ability to work both independently and as part of a team.

This is a Contract to Hire position based out of Belvidere, IL.
Pay and BenefitsThe pay range for this position is $20.00 - $25.00/hr.
