We are seeking a high-performing Assistant Project Manager & Construction Estimator to join our team to support a $50+ Million adaptive reuse project located in Nashville, TN .

Position Overview

This dual-focused role bridges pre-construction procurement, quantity takeoff, and bidding operations with active field project management and administrative control. The successful candidate will drive project value during the pre-construction phase—managing subcontractor buyout, trade estimates, and contract assembly—and seamlessly transition into the field to support real-time cost control, scheduling, RFI/submittal workflows, and quality oversight throughout the lifecycle of this major adaptive reuse development.

Key Responsibilities

Part 1: Pre-Construction, Estimating & Procurement Management

• Subcontractor Sourcing & ITB Management: Build and maintain qualified trade subcontractor databases across all CSI divisions. Draft and issue Requests for Proposals (RFPs) and Invitations to Bid (ITBs), manage bidder communications, host pre-bid site walkthroughs, and issue addenda.
• Quantity Take-Offs & Cost Estimating: Perform detailed architectural, structural, civil, and MEP digital quantity take-offs across schematic, design development, and construction drawing sets. Develop preliminary budgets, conceptual estimates, and trade-specific cost models.
• Bid Leveling & Scope Comparison: Receive, analyze, and mathematically level incoming trade proposals. Perform detailed line-item cost reviews to eliminate scope gaps, overlaps, contingencies, and unauthorized exclusions. Prepare standardized bid summaries and trade recommendations for executive approval.
• Contract Assembly & Scope Definition: Draft comprehensive, trade-specific Scopes of Work (SOW) including inclusions, exclusions, schedules, safety mandates, and payment milestones. Customize standard legal contract boilerplates, purchase orders, and professional service agreements.
• Project Buyout & Value Engineering: Negotiate scope and pricing with trade contractors to achieve target budgets. Partner with design teams and subcontractors to identify value-engineering alternatives without sacrificing project quality or historic preservation elements.
• Pre-Construction Handoff: Compile executed subcontracts, buyout logs, budget allocations, and scope breakdowns. Lead formal pre-construction briefing sessions with field Project Managers and Superintendents prior to ground-break.

Part 2: Field Assistant Project Management (Field APM)

• RFI Administration: Draft, review, process, and track Requests for Information (RFIs) from field teams and subcontractors. Coordinate directly with architects, structural/MEP engineers, and design consultants to resolve field discrepancies promptly.
• Submittals & Material Control: Manage the complete submittal workflow (shop drawings, product data, technical specifications, and physical samples). Cross-examine submittals against contract documents prior to design team review. Maintain master submittal registers, fabrication schedules, and lead-time tracking logs.
• Change Orders & Cost Tracking: Evaluate subcontractor Change Order Requests (CORs) for scope validity, unit cost alignment, and labor rates. Prepare Owner Change Orders (OCOs) with supporting backup estimates and schedule impact narratives. Maintain real-time Potential Change Order (PCO) logs for precise budget forecasting.
• Payment Applications & Lien Release Audits: Audit monthly subcontractor Applications for Payment against verified jobsite progress and stored materials. Reconcile Preliminary Notices and collect Conditional/Unconditional Lien Releases across all trade tiers to eliminate mechanic’s lien risks.
• OAC Meetings & Documentation: Organize, schedule, and compile agendas for Owner-Architect-Contractor (OAC) meetings, trade coordination sessions, and safety reviews. Record and distribute detailed meeting minutes and action-item logs.
• Field QA/QC & Superintendent Support: Assist the Project Superintendent with permit tracking, utility coordination, special inspections, and document control. Conduct site walkthroughs to audit progress against plans, safety standards, and quality specifications.
• Digital Document Control & Closeout: Manage project documents within digital platforms. Assist with project closeout, including punch list management, O&M manual compilation, warranty tracking, and digital as-built drawing archives.

Qualifications & Experience

• Experience: 3–6+ years of commercial, industrial, or large-scale construction management experience with demonstrated exposure to both estimating/buyout and field APM duties (adaptive reuse experience is a strong plus).
• Local Market Knowledge: An established network of trade subcontractors in the Middle Tennessee / Nashville metropolitan area is highly preferred.
• Education: Bachelor’s degree in Construction Management, Civil Engineering, Architecture, or a related field (or equivalent practical experience).
• Certifications:
• • OSHA 30-Hour Construction Safety Certification (Required).
  • First Aid / CPR / AED Certification (Preferred).
  • Procore Certified Associate or Administrator (Preferred).
• Technical Proficiency:
• • Hands-on experience reviewing, updating, and tracking Critical Path Method (CPM) project schedules using Primavera P6 or Microsoft Project .
  • Advanced skill in construction management software (e.g., Procore, Premier, or similar PM suites).
  • Hands-on experience with digital takeoff software (e.g., Bluebeam Revu, PlanSwift, OST).
  • Proficiency in Google Workspace, Microsoft Office (Excel, Word), and cloud document management.
• Core Competencies:
• • Deep understanding of construction drawings, CSI divisions, structural/MEP plans, and specifications.
  • Strong negotiation skills and financial acumen in contract drafting, bid leveling, and cost accounting.

Work Environment, Physical Demands & Compensation

• Location & Schedule: On-site field presence required during core construction hours (Monday–Friday) in Nashville, TN, with periodic time at regional project management offices.
• Relocation: Local Middle Tennessee candidates are preferred; however, relocation assistance is negotiable for exceptional candidates.

  • Ability to lift and carry up to 35 lbs (e.g., material samples, plan sets, field equipment).
