What You'll Do:

• Coordinate daily tasks, schedules, and workflow with clinical and administrative staff to ensure smooth patient flow.
• Assist the Director of Provider Practices in developing short- and long-term work plans and objectives for the practice.
• Monitor appointment availability, provider schedules, patient wait times, cancellations, and access; optimize provider templates based on patient demand, staffing, and clinical needs.
• Identify operational inefficiencies and implement sustainable process improvements; ensure consistent operational standards across providers and locations.
• Coordinate with hospital, surgical, imaging, therapy, and other external partners, as appropriate.
• Ensure office systems for patient follow-up (ED, referrals, ancillary test results, and clinical recall) are implemented and effective.
• Manage work queues and ensure timely completion of coding and visit worklist tasks.
• Oversee, maintain, and approve office supplies and inventory; coordinate maintenance and repair of equipment.
• Ensure offices are opened and closed according to procedure.
• Step in to cover registration and prior authorization functions when necessary.

• Establish and maintain strong, collaborative relationships with physicians and advanced practice providers; understand provider-specific workflows, priorities, and operational needs.
• Collaborate with providers to identify operational barriers and opportunities for improvement, providing data and operational insight to support informed decision-making.
• Support recruitment, onboarding, retention, and integration of new providers.
• Prepare the provider call schedule.
• Assist with care coordination activities among physicians, hospital departments, facilities, and related communications.

• Recruit, train, develop, and retain high-performing employees; provide orientation and training for office staff and providers.
• Develop and manage staff work schedules, assignments, and office workflow; oversee staffing levels and performance.
• Monitor staff performance, provide ongoing feedback, and conduct annual employee evaluations.
• Establish clear expectations and promote accountability; address employee concerns and performance issues promptly and professionally.
• Promote a culture of teamwork, professionalism, respect, and patient-centered service.
• Identify opportunities to develop staff and future practice leaders.
• Prepare the annual budget, oversee expenditures, and work with Finance to reconcile daily transactions and manage other financial activities.
• Ensure daily charges are reconciled against the patient schedule for services rendered.
• Ensure self-pay and cash collection policies are followed, including identifying self-pay patients in advance of surgeries and coordinating with financial services.
• Assist staff and patients with insurance coverage education and concerns.
• Generate volume and statistical reports; maintain performance metrics for the practice.

• Ensure support staff treat patients courteously and that visitors are screened and properly directed.
• Monitor patient feedback, complaints, and service concerns, ensuring they are addressed promptly and appropriately.
• Develop and implement strategies to improve access, communication, and patient satisfaction.
• Identify opportunities to improve the patient's experience from referral through follow-up care.
• Meet department customer service standards and strive to enhance the level of service provided.

• Comply with hospital and departmental policies, procedures, regulations, and standards as related to the job.
• Maintain strict confidentiality.
• Demonstrate the hospital's stated mission and values of teamwork, respect, and communication with co-workers, patients, families, and visitors.
• Actively and appropriately participate in problem-solving and resolution, both intra- and inter-departmentally.
• Participate in professional development activities and attend staff/job-related meetings and in-services for both the practice and Speare Memorial Hospital.
• Maintain administrative files, such as Speare policies and procedures, and follow through on Press Ganey patient satisfaction information.
• Participate in marketing efforts.
• Provide coverage and support as requested.

Qualifications

What We're Looking For:

• Bachelor's degree in health care administration, business administration, or nursing.
• Progressive healthcare management and supervisory experience in an ambulatory medical practice with demonstrated experience supervising and developing staff.

• Current NH State licensed RN
• Demonstrated experience with managing orthopedic, surgical, or specialty medical practice.

• Skill in planning, organizing, delegating, and supervising.
• Skill in evaluating the effectiveness of existing methods and procedures.
• Skill in operating a variety of office equipment and computer programs.

• Ability to read, interpret, and apply policies and procedures.
• Ability to communicate clearly and effectively.
• Ability to set priorities among multiple requests.
• Ability to interact with patients, medical and administrative staff, and public effectively.

• Knowledge of organizational policies, procedures, and systems.
• Knowledge of clinic office procedures.
• Knowledge of computer systems and applications.
• Knowledge of medical practices, terminology, and reimbursement policies.
• Knowledge of grammar, spelling, and punctuation and sentence structure to answer correspondence and prepare reports.
