Answer correspondence and assemble highly confidential and sensitive information. Interact with a diverse group of external customers as well as internal contacts at all levels of the organization. Independent judgment is required to plan, prioritize, organize and carry out a diversified workload, and make recommendations for changes in office practices or procedures. Provide extensive department secretarial/clerical support. Major emphasis is placed on the organization, coordination and general management of the internal clerical office functions of the Equity Department, with a specific focus on American Indian Education. Responsibilities and tasks include: Delivering customer service that embodies the District mission. Assisting site/department leaders with communications. Acting as a liaison between parent(s), student(s), guardian(s), the community, and site/department staff. Communicating and coordinating services with internal and external vendors to ensure adequate service to our school system. Delivering support for several program initiatives. Performing general office duties such as typing, filing, copying, faxing. Creating, updating and maintaining handbooks and manuals. Ordering supplies and tracking inventory (general office and equipment). Verifying and processing invoices. Processing monetary deposits and/or refunds. Attending meetings and recording meeting minutes as requested. Developing and distributing communications to site, department, and/or vendors. Maintaining site, department and/or supervisors calendar. Scanning and/or retrieving information located on the system’s network. Creating and/or entering data into spreadsheets and/or databases. Organize and inventory the American Indian learning resource center. Preparing and maintaining records (e.g., student records, time cards, invoices). Assisting with the planning and coordination of site and/or department events as needed (e.g. open house, conference/family nights, and internal meetings). Scheduling and preparing materials and rooms for meetings and/or conferences. Requesting room and/or site permits for before, during, and/or after school events. Supporting site/department conferences, meetings and/or special events. Assisting with staffing and/or state database input. Maintaining records on staff absences. Assisting with coordination of the interviewing process with applicants. Maintaining and distributing emergency call lists if applicable. Distributing, maintaining, and ordering site keys as necessary. Coordinating and monitoring drills and evacuations if applicable. Coordinating communication with transportation department if applicable. Perform other duties as assigned by the American Indian Education Program Coordinator. Minimum qualifications include: High school diploma or equivalent. Essential knowledge, skills, and abilities: Prior related secretarial/clerical work experience desired. Prior customer service and Microsoft Office experience required. Experience in an education setting preferred. Understanding of data entry concepts. Knowledge of spreadsheet and database management software and word processing skills. Fundamentals of general office and general administrative procedures and operational requirements. Understanding of office equipment and typical productivity software, databases or customized systems/applications. Knowledge of basic record retention, record/file/database maintenance requirements. Understanding of data privacy requirements, confidentiality, laws and rules as it pertains to job assignments. Excellent interpersonal and customer service skills and the ability to help, serve, and exchange information. The attributes of an efficacious learner: resourceful, self-directed, responsible, problem solver and skilled communicator. The ability to collaboratively solve problems. The ability to work in an organized, efficient, and process-oriented manner. Preferred qualifications include: Experience providing administrative or clerical support in a K–12 educational setting, public agency, nonprofit organization, or similar environment. Experience working with American Indian students, families, communities, programs, and/or organizations. Knowledge of or experience with American Indian cultures and communities, particularly Dakota and/or Ojibwe communities in Minnesota. Experience with purchasing and administrative processes, including purchase orders, invoice processing, contracts, and/or vendor coordination. Experience coordinating events and operational logistics, including transportation, facility permits, meetings, family engagement activities, field trips, or conferences. Demonstrated ability to manage multiple priorities and deadlines, take initiative, exercise sound judgment, and work independently with limited supervision. Strong interpersonal and communication skills with demonstrated ability to build positive relationships with students, families, staff, community members, and external partners. Experience maintaining organized electronic records, spreadsheets, calendars, procedures, and other administrative tracking systems. Ability and willingness to occasionally support evening or after-school American Indian Education events and activities, as needed.
