Petro-Diamond Incorporated is a leading company in the trade, marketing and distribution of clean petroleum transportation fuels in Southern California. Overview This is a newly created hands-on and entry level role responsible for assisting and supporting the day-to-day operations of the HR department as well as the execution of special projects. The role requires a team player responsible for implementing and executing various HR-related programs/initiatives across the company. The position will also support office administration for both the corporate office and the terminal facility, while serving as liaison with Mitsubishi Corporation – Japan, concerning the execution of logistics and administrative affairs. Responsibilities Human Resources & Office Administration Support the recruitment function by screening resumes, contacting eligible candidates and scheduling interviews with the hiring team. Coordinate the new hire orientation by compiling the new hire paperwork and executing background checks prior to employment. Responsible for employee records/document management ensuring accuracy and compliance with federal and state labor legislation. Provide assistance in the execution of HR policies and procedures. Coordinate engagement initiatives and company events; including vendor research and budgeting/costs. Coordinate new hire benefits enrollment, changes and terminations. Maintain records of incidents and injuries for workers’ compensation compliance. Serve as backup for payroll processing. Update the organization chart and contact list as needed. Serve as the first point of contact for calls and in-person inquiries from vendors and the general public. Attend/receive deliveries for the corporate office. Receive, open, sort and deliver all incoming daily mail. Process requests for business cards. Keep inventory of supplies for PDI and PDTC and provide monthly purchase orders for processing to the HR Manager. Provide support in coordinating the logistics for corporate office document control, organization and storage. Assist with building maintenance needs as they arise. Corporate Planning & Governance Support (Headquarters – Japan) Provide support in all logistics matters when coordinating the quarterly Board of Directors. Collect attendees’ availability and consolidate presentation materials. Arrange meeting venues and dinners; coordinate shareholder and visitor activities. Coordinate travel arrangements and hotel reservations. Support periodic shareholder reporting. Coordinate with Mitsubishi Corporation in Japan on credit renewals approvals. Support other recurring compliance-related submissions. Qualifications Bachelor’s degree required, preferably in Human Resources or Accounting. Fully bilingual English and Japanese. Experience in the petroleum distribution industry is highly preferred. Experience working with C-level upper management. Able to work in a fast-paced environment. 2–3 years of experience with HRIS as well as ATS. Extremely detail-oriented; excellent organization and presentation skills. Fast and accurate data processing and analysis; able to manage cut-off tasks and deadlines. Extremely responsive to business prioritization requests; system savvy and a follower of internal controls. Ability to handle confidential information with professionalism and integrity; excellent email etiquette and written/verbal communication skills. Extremely proactive attitude.
