Patient Service Representative / Medical Front Desk

HealthStop Family Practice & Immediate Care – Berwyn, IL

HealthStop Family Practice & Immediate Care is seeking an experienced, dependable, and personable Patient Service Representative / Medical Front Desk team member. We are looking for someone who has prior experience working in a medical office and is comfortable managing a busy front desk while providing excellent customer service to our patients.

The ideal candidate is organized, professional, able to multitask, and experienced with patient scheduling, insurance verification, prescription requests, medical records, and prior authorizations.

Responsibilities

• Greet and check in patients in a friendly and professional manner
• Answer incoming telephone calls and appropriately route messages
• Schedule, reschedule, and confirm patient appointments
• Assist patients with questions regarding appointments, office policies, and services
• Register new patients and update existing patient demographic and insurance information
• Verify insurance eligibility and benefits
• Collect copays, deductibles, outstanding balances, and other patient payments
• Scan insurance cards, identification, referrals, and other documentation into the patient's chart
• Manage incoming patient messages and communicate them to providers and clinical staff
• Receive and process prescription refill requests and route them appropriately to the provider or clinical team
• Assist with medication and procedure prior authorizations
• Request, receive, scan, and send medical records in accordance with HIPAA requirements
• Process patient requests for medical records, forms, referrals, and other documentation
• Assist with specialist referrals and insurance authorization requirements
• Monitor incoming faxes and distribute information appropriately
• Communicate with pharmacies, insurance companies, specialists, hospitals, and other healthcare organizations as needed
• Maintain accurate documentation in the electronic medical record
• Assist with patient follow-up and appointment reminders
• Maintain patient confidentiality and comply with HIPAA and office policies
• Work closely with physicians, nurse practitioners, medical assistants, and other staff to coordinate patient care
• Perform other front-office and administrative duties as assigned

Qualifications

• Previous medical office/front desk experience preferred
• Experience in a primary care, family medicine, immediate care, urgent care, or similar outpatient setting is strongly preferred
• Experience with electronic medical records (EMR/EHR)
• Athenahealth experience is a plus
• Experience with insurance verification and prior authorizations preferred
• Familiarity with prescription refill requests, referrals, and medical records
• Knowledge of HIPAA and patient confidentiality requirements
• Strong telephone and customer service skills
• Excellent communication and interpersonal skills
• Strong organizational skills and attention to detail
• Ability to multitask and prioritize responsibilities in a busy medical office
• Comfortable communicating with patients, healthcare providers, pharmacies, and insurance companies
• Dependable, punctual, professional, and able to work well as part of a team
• Basic computer skills, including email, scanning, faxing, and electronic documentation
