Accounts Payable Specialist, SeniorUnder the supervision of the Accounts Payable Manager, the Accounts Payable Specialist, Senior handles complex vendor accounts and assists the AP team resolve vendor issues to perform timely processing of invoices for payment. Communicates with program personnel and vendors to reconcile problem invoices, the AP Specialist, Senior supports the efforts of junior AP staff.Duties and responsibilities include:Coding invoices and matching to receiving documents and purchase orders; reviewing documents for accuracy; maintaining related files; preparing documents and entering data into the computer system; preparing and processing weekly payments, via checks, credit cards, ACH, as directed; ensuring timely payment to vendors.Effectively managing assigned vendor accounts; meeting deadlines for available credits; timely processing and posting current invoices; avoiding past due payment through diligent efforts; coordinating with program personnel and vendors to reconcile discrepancies on purchases and payable documents.Assisting in adjusting journal entry input; backing up Accounts Receivable functions.Assisting in the training of new accounting personnel to VOALA accounting practices and procedures, providing hands on assistance to the team: handling complex accounts, resolving vendor problems, performing special assignments.Other duties as required to meet department mission, as directed by Accounts Payable Manager.Essential ability acknowledgement: Ability to work and deal with difficult, uncooperative, and potentially aggressive clients as VOALA serves the neediest of the needy in our programs, which may include clients with homelessness, mental illness, substance abuse, recently released from incarceration, and other challenges.Essential duties include:An essential function of this position requires incumbents to report to the office.Coding and matching invoices to receiving documents and purchase orders – reviewing documents for accuracy, data entry in accounting system; making timely payments.Effectively managing assigned accounts: meeting deadlines and timely processing invoices; coordinating with program personnel and vendors to reconcile discrepancies on purchases and payable documents.Assisting in adjusting journal entry input; backing up Accounts Receivable functions.Assisting in the training of new accounting personnel to VOALA accounting practices and procedures.Handling complex accounts, resolving vendor problems, performing special assignments.Other duties as required and may be subject to change.Mandated reporter: As service providers to the underprivileged and vulnerable in our community, all employees are considered Mandated Reporters, and must report any instance of physical or sexual abuse to proper authorities.Qualifications:Must be able to pass a fingerprint clearance, background check, including criminal history, personal references, employment and education verifications.Ability to perform under circumstances of possible emotional stress and conflicts dealing with difficult, uncooperative, and potentially aggressive clients as VOALA serves the neediest of the needy in our programs which may include clients with homelessness, mental-illness, substance abuse, recently released from incarceration and other challenges.Education:High school diploma (or GED/High School Equivalence Certificate)Experience:5 years of AP experience OR Bachelor's Degree in Finance/Accounting or related field and 2 years of related experiencePreferred qualifications:Accounting Degree, AA or BAVolunteers of America is an Equal Opportunity employer.
