Patient Services Specialist

Position Description

This position is responsible for ensuring the smooth operation of the clinic's patient flow and serving as the primary contact for patients at the Bell County Jail in Belton, TX . Responsible for scheduling appointments, preparing necessary paperwork before the patient visits, receiving patients, and maintaining records. In addition, this position is responsible for processing charges for clinic services, filing insurance claims, responding to requests for information from patients and insurance companies and maintaining related information for the department.


Major/Essential Functions

• Referral Management & Tracking: Manages referrals from provider order through appointment completion.
• Appointment Scheduling & Coordination: Responsible for scheduling all off-site and specialty appointments, coordinating with transport.
• Communication with External Clinics: Serves as the primary contact for outside specialty clinics.
• Documentation & Reporting: Maintains referral and scheduling spreadsheets in real time, ensuring documentation is concise and accurate.
• Communication with Internal Team: Communicates with providers, nursing staff, and leadership regarding referral status and scheduling updates.
• Other Duties - Performs additional administrative duties as assigned, supports team operations, and contributes to workflow and process improvements to enhance overall clinic efficiency.

Preferred Qualifications

• Experience with referrals and appointment coordination.
• Experience in a correctional or clinical setting.
• Prior Experience in Electronic Health Records (EHR) systems.

Pay Statement

Compensation is commensurate upon the qualifications of the individual selected and budgetary guidelines of the hiring department, as well as the institutional pay plan. For additional information, please reference the institutional pay plan website at

Required Qualifications

• A High School diploma or GED.
• 1-year Customer Service, office, or related experience. Additional education may substitute for the experience requirement.

Visa Information

TTUHSC, at its sole discretion, may initiate new H-1B I-129 visa petitions in accordance with the directive issued by Governor Abbott. Approval from the Texas Workforce Commission is required. On a limited, case-by-case basis, the institution may also sponsor eligible individuals for change-of-status or change-of-employer petitions for qualifying positions. TTUHSC will not pay the $100,000 fee, if applicable.
