WAREHOUSE OPERATIONS COORDINATOR

Basic Function The Warehouse Operations Coordinator is accountable for continuity of warehouse workflow, receiving and fulfillment processes, logistics, scheduled Carthage Supply deliveries, warehouse operational systems, and time-sensitive backup support needed to maintain customer order fulfillment and operations. The role coordinates daily priorities and communicates operational changes without direct supervisory authority. It owns warehouse processes and workflow while coordinating closely with Inventory, warehouse execution roles, Accounting, IT/DEV, LAB, Health Team, vendors, carriers, drivers, and other partners. Essential Duties and Responsibilities Warehouse Workflow, Receiving & Fulfillment Coordination Coordinate daily warehouse workflow, receiving, fulfillment, shipping, handoffs, staffing coverage, and operational communication across staggered Supply schedules. Maintain visibility to inventory, orders, shipments, freight activity, resource needs, and competing priorities; identify bottlenecks and coordinate resolution. Maintain standard receiving, put-away, picking, packing, shipping, order-completion, and fulfillment processes. Support urgent inventory-discrepancy resolution and authorized emergency inventory adjustments when needed to maintain operations. Ensure processes support lot/serial, expiration, FEFO, labeling, product validation, barcode receiving, automated finalization, carrier/tracking, invoicing, and prescription-label workflows. Escalate significant priority conflicts, resource constraints, or operational concerns to the Director of Supply. Logistics, Freight & Delivery Coordination Coordinate LTL, common-carrier, custom-driver, UPS, Spee-Dee, and other approved freight or delivery methods from planning through delivery. Maintain freight calendars, client shipping-method information, scheduled deliveries, carrier pickups, shipment timing, and required documentation. Obtain and compare freight rates; select carriers based on cost, service, timing, and established requirements. Coordinate with warehouse employees to prepare freight, track shipments, resolve delays, and communicate delivery issues to affected parties. Manage lost or damaged LTL freight claims and coordinate related inventory adjustments or Accounting reimbursement follow-up. Book routine freight within the established $500 approval threshold; obtain Director of Supply approval for higher-cost, unusual, or sensitive freight. Monthly Farm Order & Delivery Coordination Maintain and communicate monthly farm order, submission-deadline, AHI delivery, and Carthage Supply pallet-delivery schedules. Communicate expected shipment contents, product availability, backorders, delivery changes, and items moved between shipments. Routinely verify farm calendars for accuracy and ensure farms and internal employees have clear delivery information. Coordinate delivery plans with the AHI delivery coordinator and adjust for health, biosecurity, truck-wash, sequencing, product availability, and operational requirements. Cross Departmental Training Provide second-level backup for Customer Service order processing after the Procurement Analyst. Back up semen-shipment processing, urgent inventory discrepancies, emergency inventory adjustments, and internal-use inventory transactions. Support receiving, fulfillment, packing, and shipping during staffing shortages or unusual workload. Provide emergency continuity support for detailed AHI delivery coordination when the owner and primary backup are unavailable. Education Requirements High school diploma or equivalent required. Associate degree in supply chain, logistics, business, operations, or a related field preferred, or equivalent relevant education, training, and work experience. Two to three or more years of experience in warehouse operations, logistics, shipping, freight coordination, operations, or a related field preferred. An equivalent combination of education, training, and relevant work experience may be considered in place of preferred formal education Knowledge, Skills & Abilities Strong organization, communication, coordination, problem-solving, and process-documentation skills. Ability to manage multiple schedules, shipments, priorities, operational deadlines, and changing business needs. Working knowledge of warehouse receiving, fulfillment, shipping, inventory, logistics, freight documentation, and carrier coordination. Ability to coordinate work effectively without formal supervisory authority and collaborate across internal and external partners. Strong computer skills and ability to learn Sage 100, C360, barcode/WMS technology, carrier systems, and operational software. Ability to train employees, support process adoption, distinguish workflow/system issues from inventory-data issues, and elevate appropriately.
