Facility Manager - JLL What this job involves: We are seeking an experienced Facilities Manager to oversee operations across two strategic locations in the Bay Area. This full-time leadership role will manage a team of 10 professionals responsible for approximately 400,000 square feet of leased facilities, including our primary Milpitas location (ISO 8 classified with GxP standards) and a satellite site in San Jose, CA. What your day-to-day will look like? Oversee comprehensive facilities maintenance programs across both locations, ensuring optimal building performance, regulatory compliance, and tenant satisfaction. Develop and implement preventive maintenance schedules for HVAC, electrical, plumbing, life safety systems, and building envelope. Manage vendor relationships and service contracts to ensure quality work and cost-effective solutions. Maintain the Milpitas facility to ISO 8 cleanroom standards and GxP compliance requirements, coordinating with quality assurance teams on environmental monitoring and documentation. Lead and mentor a team of 10 facilities professionals, fostering a culture of accountability, safety, and continuous improvement. Conduct regular performance evaluations, provide ongoing coaching, and identify training opportunities to develop technical and professional capabilities. Manage scheduling, workload distribution, and resource allocation across both sites to ensure adequate coverage and response capabilities. Plan, coordinate, and execute facility improvement projects from conception through completion, managing timelines, budgets, and stakeholder communications. Serve as the primary liaison with landlords, contractors, architects, and engineers on capital improvements, tenant improvement projects, and space modifications. Ensure all projects comply with building codes, lease requirements, ISO 8 standards, and GxP regulations where applicable. Establish, monitor, and report on key performance indicators that measure facility operations effectiveness, including equipment uptime, response times to service requests, preventive maintenance completion rates, energy consumption, and cost per square foot metrics. Analyze performance data to identify trends, inefficiencies, and opportunities for improvement. Develop and implement corrective action plans when KPIs fall below established targets. Prepare comprehensive monthly and quarterly reports demonstrating progress against objectives, highlighting achievements, and addressing areas requiring attention. Utilize data-driven insights to support strategic planning and resource allocation decisions. Serve as the primary facilities point of contact for internal clients, building occupants, senior leadership, landlords, and external partners. Conduct regular meetings with key stakeholders to understand evolving needs, gather feedback, and ensure alignment on priorities and service delivery expectations. Communicate proactively regarding planned maintenance activities, building disruptions, project timelines, and emergency situations through multiple channels including emails, meetings, and facility management platforms. Present facility performance updates to leadership teams, translating technical information into business impact terms. Build collaborative relationships with cross-functional partners including IT, EHS (Environment, Health & Safety), Security, Quality Assurance, and Operations teams. Manage escalations professionally and resolve concerns in a timely manner while maintaining transparency throughout the resolution process. Oversee mailroom operations ensuring timely, accurate, and secure mail and package handling across both locations. Implement efficient processes for incoming and outgoing deliveries, tracking systems, and coordination with courier services. Maintain thorough knowledge of federal, state, and local regulations affecting facility operations, including OSHA requirements, environmental regulations, and industry-specific standards. Ensure ISO 8 cleanroom protocols are consistently maintained through proper gowning procedures, environmental controls, and particle count monitoring. Uphold GxP documentation standards including maintenance logs, calibration records, and change control processes. Conduct regular safety inspections, coordinate emergency preparedness drills, and maintain required documentation for regulatory audits. Maintain audit‑ready facilities in compliance with BSI (British Standards Institution) and FDA (Food and Drug Administration) standards Prepare for and support internal and external audits by ensuring all facility documentation, maintenance records, calibration certificates, and environmental monitoring data are current, accurate, and readily accessible. Implement and maintain facility‑related quality management system procedures that meet ISO 13485 requirements and FDA 21 CFR Part 820 (Quality System Regulation) where applicable. Coordinate with Quality Assurance teams to address facility‑related observations and CAPAs (Corrective and Preventive Actions) from previous audits. Participate actively in audit walkthroughs, providing technical expertise on facility systems, environmental controls, and maintenance programs. Ensure all vendor qualifications, training documentation, and equipment validation records meet audit requirements and demonstrate continuous compliance with applicable standards. Develop and manage annual operating budgets for both facilities, identifying cost‑saving opportunities while maintaining service quality. Track expenses, analyze variance reports, and provide regular financial updates to leadership. Evaluate capital expenditure requests and provide recommendations with ROI analysis. Required Qualifications Bachelor's degree in Facilities Management, Engineering, Business Administration, or related field, or equivalent combination of education and experience Minimum 7 years of progressive facilities management experience At least 3 years of supervisory experience managing facilities teams Proven experience managing facilities of 200,000+ square feet Experience with cleanroom environments (ISO 8 or equivalent) required GxP (Good Practice) standards knowledge and implementation experience required Demonstrated experience supporting BSI and/or FDA audits in regulated manufacturing or life sciences environments After hours on‑call availability for critical facility needs Strong knowledge of building systems including HVAC, electrical, plumbing, fire/life safety, and building automation systems Understanding of ISO cleanroom classifications, environmental monitoring, and contamination control Familiarity with GxP documentation requirements and validation processes Knowledge of FDA 21 CFR Part 820 and ISO 13485 requirements as they relate to facility operations Experience with audit preparation, documentation management, and regulatory compliance Project management experience including budgeting, scheduling, and contractor coordination Proficiency with CMMS (Computerized Maintenance Management Systems) Working knowledge of Microsoft Office Suite and facility management software Experience developing and tracking KPIs and performance metrics Preferred Qualifications: Certified Facility Manager (CFM) or Facility Management Professional (FMP) Project Management Professional (PMP) or equivalent OSHA 30‑Hour General Industry certification ASQ Certified Quality Auditor (CQA) or similar quality system certification Location: Milpitas, CA (with up to 20% travel to San Jose, CA) Physical Requirements Ability to walk extensively throughout 400,000 square feet of facilities Capable of climbing ladders and accessing mechanical spaces Ability to lift up to 25 pounds occasionally Comfortable working in various environments including cleanrooms, mechanical rooms, and outdoor areas This position does not provide visa sponsorship.
