This position operates in a very fast-paced environment, requiring a high level of organization and the ability to stay on top of multiple responsibilities at once. Strong attendance and reliability are essential to ensure smooth daily operations. The ideal candidate is a quick learner who can adapt to new tasks efficiently while maintaining a sharp attention to detail. You should be comfortable handling a significant amount of paperwork and able to multitask effectively without compromising accuracy or productivity. Integrity is extremely important in this role, as it involves handling sensitive employee information and maintaining strict confidentiality at all times. HR Administrative Support Work closely with HR staff Recruiting specialist. Review intake paperwork submitted by the HR Staff Recruiting Specialist for Group Home (GH) and Day Treatment for Adults (DTA) orientation. Prepare required state documentation one week prior to orientation sessions for GH and DTA new hires. Facilitate GH and DTA new hire orientations. Complete all state-required forms with applicants during orientation. Ensure all orientation training documents are accurately completed and corrected as needed. Verify new hire orientation packets for completeness. Coordinate with DTA orientation facilitator to collect all signed documentation on the day of orientation. Prepare and distribute orientation packets, cover sheets, and member orientation documents daily. (10 min) Create employee files and add them into the HR matrix the same day. Add new hires to internal systems (e.g., Connect Team) and register fingerprints on orientation day. Submit new hires to required systems (AZ New Hire, I-9 E-Verify, OIG, SAMS, Central Registry, APS) on the day of orientation, run driving record if applicable and ensure proper filing. Follow up on CBC submissions and results on the same day. Assign new hire timecards to the appropriate director. Send out updated contact information for each new hire to relevant departments. Follow up promptly on missing information or required corrections after orientation. Create and send verification and offer letters within 24–48 hours upon request. Notarize criminal affidavits for employee files. Follow up on employment verifications within 24–48 hours. Update internal tracking matrix with submitted documents (IDs, driver’s licenses, fingerprint cards, driving records, etc.) and ensure proper filing. Handle labor law claims and legal inquiries as needed. Manage and distribute paper checks when applicable. Respond to internal inquiries via “ASK HERE,” “HR Help Desk” and “Training Requests” chats in the system. Follow up separation paperwork for terminated employees. Remove terminated employees from Paycom, Connect Team, and CBC sites. HR Specialist Disassemble and organize employee files post-separation, ensuring compliance with retention policies. Assist with HR recruiter duties as needed, including sourcing candidates, screening resumes, and scheduling/conducting interviews. Performance Reviews & Incentives Coordinate staff reviews with Directors and the CEO; schedule meetings and send calendar invites. Email managers to request review sheets with employee names, hire dates, and other necessary data. Prepare review documents with current pay rates, disciplinary actions, and training history. Work alongside company leadership to manage yearly incentive programs. Input incentive pay before payroll is processed. Verify and enter retroactive pay changes. Payroll & Paycom Management Request and process position change forms, including pay rate adjustments and title changes. Submit personnel action forms in Paycom to reflect employee changes. Communicate directly with the Paycom specialist for payroll-related issues and escalations. Convert staff to W-2 status after their 90-day review and notify managers with updated login information. Support staff and managers in resolving Paycom-related issues. Compliance & Reporting Run monthly OIG and SAMS reports for active employees. Conduct fingerprint card verifications and driving records every six months. Maintain compliance with all federal, state, and organizational HR requirements. Audit Connect Team bi-weekly. Handle ACA filings and related documentation. Support 401(k) and benefits administration. File 401 K Template every pay period. Coordinate and schedule staff submissions for annual state form renewals, based on the due dates outlined in the tracking matrix (Policy Ack, Direct service form, Criminal Affidavit and CBC). Other HR Tasks Perform other HR-related tasks as assigned by management or the HR Director. Requirements Strong teamwork and collaboration skills. Ability to meet strict deadlines and work under pressure. Excellent verbal and written communication skills. High-level customer service and interpersonal skills. Strong organizational and time management abilities. Must be able to obtain and maintain a notary license.
