Service Department Assistant (Bronx, NY)

Support the end-to-end administration of customer cases and work orders by ensuring accurate documentation, coordinating follow-up activities, resolving operational exceptions, supporting billing processes, and driving continuous improvements that enhance service delivery, operational efficiency, and customer satisfaction.

Your role:

• Coordinating vendor services, preventative maintenance scheduling, parts ordering, purchase requests, and follow-up on quotes, deliveries, and repairs. Managing service work orders, ensuring required documentation is complete, tracking open activities, and supporting work order closure.
• Supporting inventory and asset management activities, including equipment registrations, database updates, asset additions/deletions, and audit readiness.
• Providing administrative support for reporting, customer requests, vendor coordination, work order follow-up, and operational activities supporting the site lead and area service manager. Supporting billing and financial activities, including invoice verification, purchase order tracking, billable event documentation, reconciliation support, and follow-up with internal finance teams.

• You've acquired 1+ years of experience in customer service and order processing.
• Your skills include data entry, documentation and reporting, administrative support, service operations, regulatory compliance, financial acumen, billing processes, and accounting.
• You have at least a high school diploma.
• You must be able to successfully perform the following minimum Physical, Cognitive and Environmental job requirements with or without accommodation for this position.
• Must be able to adhere to onsite schedule: MondayFriday, 8:00 AM4:30 PM ET.

Philips Transparency Details

The pay range for this position in New York is $20.00 to $31.00 per hour plus overtime eligible. The actual base pay offered may vary within the posted ranges depending on multiple factors including job-related knowledge/skills, experience, business needs, geographical location, and internal equity. In addition, other compensation, such as an annual incentive bonus, sales commission or long-term incentives may be offered.
