Operations & Records Administrator

SUMMARY: Responsible for managing day-to-day administrative functions while ensuring the accurate audit and production of maintenance records. This role blends office management with technical documentation tasks, supporting our aviation operations in compliance with Civil Aviation Authority regulations.DUTIES & RESPONSIBILITIES:Responsibilities include, but are not limited to:Administrative Duties:Manage work orders in the company ERP system.Manage facility access (FOBs, IDs) for employees.Coordinate employee drug testing, eye exams, and workers' compensation claims.Manage employee records, including trainingPerform other duties as assigned by supervisor(s) necessary for the normal day-to-day operation.Records Duties:Audit incoming maintenance records for required documentation.Organize, scan, and electronically file maintenance records in compliance with company policies.Compile outgoing technical documentation packages (Engine Mini-Pack).Ensure all hardcopy and digital records are properly accounted for.Review VSE-generated records for required signatures and stamps, ensuring regulatory compliance.Manage both master and copy files of aircraft/engine records packages.MINIMUM REQUIREMENTS:High school diploma or equivalent (GED)2+ years of experience in office management and/or technical records, preferably within the aerospace industry.Familiarity with aircraft maintenance records and parts certifications is a plus.PREFERRED REQUIREMENTS:Associate’s degree in aviation managementProficiency in Microsoft Office SuiteExperience with ERP systems is a plus.Strong organizational skills and attention to detail.Ability to manage sensitive information.Capable of working independently and handling multiple priorities in a fast-paced environment.The selected applicant will be subject to a background check and drug testing. #J-18808-Ljbffr VSE
