Job Title: Onsite Director of First Impressions / Operations Assistant

Job Summary: The Onsite Director of First Impressions / Operations Assistant plays a pivotal role in ensuring exceptional hospitality and operational efficiency within our office. This individual will be responsible for greeting clients with warmth and professionalism, managing incoming calls, handling basic client requests, preparing meeting spaces, managing service workers, assisting with mailings, supporting third-party custodians and applications, facilitating client appreciation efforts, data entry tasks, and maintaining office supplies. Additionally, there is a potential for career advancement in either a Licensed Relationship Manager or Wealth Planner track.

Note: This is not a work from home position.

Key Responsibilities:

Short Term (90 days):

• Greet clients in person with exceptional hospitality, engaging in meaningful conversation, and preparing drinks as needed.
• Provide upbeat and efficient phone support, triaging client requests promptly and accurately.
• Fulfill basic client requests in a timely manner.
• Prepare and organize meeting rooms before and after client meetings.
• Coordinate with service workers during office visits for various tasks.
• Handle mail processing including mass mailings, physical mailings, and check deposits.
• Assist with third-party custodian tasks for held away and held direct plans.
• Access and manage third-party applications such as CRM systems.
• Support client appreciation efforts including purchases for gifts, meals, events, and travel.
• Perform data entry tasks accurately.
• Manage office supplies ordering and maintenance.

Medium Term (180 days):

• Obtain a Nevada Notary Commission to enhance operational capabilities.
• Continuously execute all tasks with efficiency and professionalism.

Long Term (365 days +):

Pursue potential career advancement in one of two career tracks:

1. Licensed Relationship Manager: Pass Series 7, Series 66, and Securities Industry Essentials® (SIE) exams to execute securities transactions under supervision.

2. Wealth Planner: Transition into a consultative role to assist clients in achieving financial goals.

Qualifications:

• Excellent interpersonal skills with the ability to engage in meaningful conversation.
• Strong organizational and multitasking abilities.
• Proficient in Microsoft Word, Microsoft Excel, Microsoft Teams, and Zoom.
• Preferably holds a college degree; high school diploma or equivalent is required.
• Proficient in phone etiquette and handling client inquiries effectively.
• Detail-oriented with a commitment to accuracy.
• Ability to work in a fast-paced environment and prioritize tasks efficiently.
• Willingness to pursue a Nevada Notary Commission within the designated timeframe.
• Potential interest in advancing a career within the financial services industry.

Additional Details:

Compensation:

• Competitive pay range of $20 to $25 per hour, commensurate with experience and qualifications.

• Onsite position located in Reno, NV.
