Job Title: Warehouse Administrator / Customer Service Representative
Job Description
The Warehouse Administrator / Customer Service Representative supports both warehouse operations and customer-facing activities in a manufacturing and distribution environment. This role serves as a central point of contact for customers, drivers, vendors, and internal teams while handling inventory management, shipping and receiving, order processing, and general administrative tasks. The position is ideal for an organized, detail-oriented professional who is comfortable working in both office and warehouse settings and who brings a strong customer-first mindset.
Responsibilities

• Serve as the primary point of contact for customer inquiries via phone, email, and in person.
• Process customer orders, returns, and requests accurately in the ERP system.
• Provide timely order status updates, shipping information, and delivery schedules to customers and internal stakeholders.
• Coordinate communication between customers, warehouse personnel, and leadership to ensure prompt resolution of issues.
• Prepare and maintain customer records, shipping documentation, reports, and spreadsheets.
• Track open orders, backorders, and customer follow-up activities to ensure timely completion.
• Assist with invoicing, order documentation, and general office administration tasks.
• Maintain organized digital and physical filing systems for records and documentation.
• Handle customer concerns professionally and escalate complex issues when necessary.
• Assist with shipping, receiving, picking, packing, and staging materials for shipment.
• Verify incoming and outgoing shipments for accuracy and update inventory records in the ERP system.
• Perform inventory transactions and support inventory management activities.
• Conduct cycle counts and assist with physical inventory processes.
• Prepare shipping paperwork including packing slips, labels, bills of lading, and carrier documentation.
• Coordinate outbound shipments and carrier pickups to meet delivery timelines.
• Investigate inventory discrepancies and assist with implementing corrective actions.
• Support warehouse organization, material movement, and inventory control initiatives.
• Maintain a clean, organized, and safe work environment in accordance with company safety standards.

Essential Skills

• Experience in customer service, warehouse administration, logistics, inventory control, or a related field preferred.
• Experience working in a manufacturing, distribution, or warehouse environment strongly preferred.
• Strong communication and interpersonal skills with a customer-first mindset.
• Excellent organizational skills and attention to detail.
• Ability to prioritize multiple tasks and work effectively in a fast-paced environment.
• Proficiency with Microsoft Office applications, including Excel, Outlook, and Word.
• Experience using ERP, inventory management, or order-entry systems.
• Strong problem-solving skills and ability to work independently.
• Reliable, professional, and team-oriented approach to work.

Additional Skills & Qualifications

• Warehouse administration, customer service, order processing, data entry, inventory management, and inventory control.
• Experience with shipping and receiving operations and logistics coordination.
• Familiarity with ERP systems and related data entry processes.
• Comfort working around hand tools, mechanical equipment, power tools, and soldering in a manufacturing setting.
• Ability to read and interpret basic mechanical or assembly-related information such as blueprints is beneficial.

Work Environment
This role is based in a manufacturing facility in Fairfield, CA, combining office and warehouse settings. The environment emphasizes safety, cleanliness, and organization, with regular use of ERP systems, computers with Microsoft Office, and standard warehouse equipment and tools.
Job Type & Location
This is a Contract to Hire position based out of Fairfield, CA.
Pay and Benefits
The pay range for this position is $25.00 - $27.00/hr.
Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
