Executive Assistant

A highly respected investment-focused organization in downtown Chicago is seeking a polished and driven Executive Assistant to support a team of senior leaders. This position offers a competitive salary of up to 130k + bonus based on experience, in addition to a comprehensive benefits package that includes medical and dental coverage and generous paid time off.

Key Responsibilities of the the Executive Assistant:

  • Manage complex calendars for three senior executives, coordinating meetings, appointments, travel, and scheduling priorities.
  • Partner with internal teams and external contacts to facilitate seamless communication and ensure timely follow-through on requests and initiatives.
  • Create, proofread, and revise presentations, reports, and executive correspondence with exceptional attention to detail.
  • Plan and coordinate meetings, including scheduling, preparation of supporting materials, logistics management, and action item tracking.
  • Oversee expense submissions, invoice administration, and supporting documentation while maintaining compliance with internal procedures.
  • Assist with special projects and ongoing initiatives by helping monitor deadlines, priorities, and deliverables.
  • Handle highly confidential information with professionalism, discretion, and sound judgment.

Qualifications of the Executive Assistant:

  • At least 5 years of experience supporting senior-level executives, preferably within financial services, private equity, or investment banking environments.
  • Strong technical proficiency in Microsoft Office applications, including Outlook, Excel, PowerPoint, and Word, along with exposure to CRM and expense management systems.
  • Proven ability to remain organized and effective while balancing multiple responsibilities in a deadline-driven environment.
  • Excellent communication skills with the ability to interact confidently and professionally with executives, clients, and business partners.
  • A proactive and solutions-oriented mindset with the ability to anticipate needs, think ahead, and provide seamless support to leadership.
