Minimum Qualifications: Bachelor’s degree in a related field or equivalent Preferred Qualifications: Master’s degree in Higher Education Administration, Business Administration, Public Administration, or a related field. Three or more years of progressively responsible work in program administration, business operations, higher education administration, financial management, or equivalent. Three or more years supporting graduate, professional, continuing education, workforce development programs, or equivalent. Two or more years coordinating conferences, webinars, professional development programs, other revenue-generating events, or equivalent. Demonstrated proficiency with enterprise systems such as Athena, Banner, eLC, GradStatus, QuestionPro, Workday, or similar platforms. Demonstrated ability to develop budgets, reconcile financial transactions, and prepare financial reports. Demonstrated ability to analyze data and prepare reports that support operational and strategic decision-making. Demonstrated ability to manage multiple projects, priorities, and deadlines while working effectively with faculty, students, staff, and external stakeholders. Demonstrated ability to provide training, guidance, or functional leadership to student workers or administrative personnel. Position Summary: Serves as the Office Manager for the International Biomedical Regulatory Sciences (IBRS) program, providing high-level oversight of program operations, student management, conference/webinar management, financial management support, and program administration logistics. This role is responsible for planning, directing, and evaluating administrative and operational functions that support program delivery, student success, and revenue-generating activities. Acts as a strategic partner to program leadership, exercising independent judgment to develop, implement, and improve processes, ensure compliance, and optimize operational performance. Oversee student activities, conference/webinar logistics, support financial and administrative systems while guiding staff and coordinating cross-functional efforts. Duties/Responsibilities: Conferences & Revenue-Generating Programs Direct planning and execution of IBRS conferences and professional programs (e.g., Medical Device, GMP) Oversee budgeting, vendor selection, contract coordination, and financial performance of events Manage and coordinate all activities and logistics related to the conference, including speaker management, attendee management, exhibitor management, and coordination with the Georgia Center. Manage the website, advertisement, and promotion of the conferences and webinars, including getting appropriate clearances to be compliant with policies and procedures Work with external co-sponsors, including the FDA, to complete all administrative paperwork for speakers and any clearances as appropriate Work closely with speakers on the titles, presentations, biographies, and headshots for the website Evaluate program effectiveness and recommend enhancements for growth and sustainability Identify risks and implement mitigation strategies to ensure successful outcomes Percentage of time: 30 Duties/Responsibilities: Student Lifecycle Administration & Success Oversee administrative operations for the full student lifecycle (recruitment through graduation) Support initial program inquiries for potential students, including sending information on ap-plying, answering follow-up questions Guide admissions processes, enrollment tracking, and student progression monitoring Manage registration process via Question Pro and clear students’ registration, advisement holds and POD’s. Analyze enrollment, retention, and completion data to inform program improvements Provides learning strategy support, course planning, and monitoring of student progress toward the degree. Advise students on academic policies, progres-sion requirements, and program options Coordinate events to enhance student/faculty interaction and to enhance student experiences Assist with student-related issues and provide appropriate information or direct them to the appropriate resource, and follow up to ensure they are resolved Ensure students’ profiles and progress are maintained in the student Information database Identify trends and recommend process or pol-icy enhancements to improve student out-comes Percentage of time: 20 Duties/Responsibilities: Program Delivery & Academic Operations Oversee operational execution of online courses and certificate programs Support the development of online courses and maintain the courses up to date Collaborate with faculty to ensure effective course delivery and compliance with institu-tional standards Establish and maintain systems to support aca-demic scheduling, course setup, and delivery Develop and update course syllabus in collaboration with faculty, set up courses in eLC. Maintain registered students’ listserv Support students as course coordinators and resolve issues to enable successful completion of the coursework Resolve complex operational and instructional issues independently Organize and prepare agenda/minutes for periodic faculty and staff meetings in coordination with management Percentage of time: 20 Duties/Responsibilities: Office Management Direct and oversee day-to-day business and operational functions of the IBRS program Develop and manage the IBRS program budget, including forecasting revenue from conferences/webinars and expenditures across degree programs, certificates, and conferences Verify the accuracy and completeness of charges in the monthly financial status report, including phone charges, Carl Vinson charges, and supplies Develop and implement operational strategies to improve efficiency, service delivery, and scalability Evaluate existing workflows and independently implement process improvements Serve as primary liaison to central administrative units (Business Affairs, HR, IT, Graduate School) Advise leadership on operational risks, needs, and resource allocation Serve as the primary P-Card holder for IBRS, executing purchases in compliance with state and university regulations. Percentage of time: 20 Duties/Responsibilities: Data Analysis, Reporting & Decision Support Develop and maintain reporting tools to track program performance (enrollment, financials, outcomes) Analyze data and present actionable insights to leadership Use data to inform operational, financial, and strategic decisions Provide monthly strategic financial reports and ad hoc analysis to the Department Head and leadership regarding salary savings, start-up funds, and new initiatives.
