Assistant Facility Manager

$38.25 - $45 per hour

Job Overview Assistant Facility Manager Under the supervision of the Facilities Manager, the Assistant Facilities Manager supports the facilities organization at a specific location, set of buildings, or campus environment. The role focuses on implementing policies, procedures, programs, and workplace services that maintain a well-managed and well-maintained building while responding positively to tenant concerns, environmental health and safety, and quality programs in alignment with client goals. Responsibilities Ensure daily operations of the facility(s) or campus, including janitorial, life‑safety, engineering, site services, and general maintenance, are implemented in line with C&W policies and client directives. Review contracts regularly, bid out as required, and confirm invoices match contract pricing. Supervise all maintenance programs related to interior and exterior conditions and appearance of the properties. Respond promptly to maintenance, repair, and cleaning requests from building occupants, and manage ongoing contract programs. Compile necessary documentation and reports such as Property Information Book, Site Operating Manual, Emergency Procedures Manual, IIPP Manual, Local Code Compliance Log, ADA Compliance Log, OSHA Log, Safety Meeting Log, Elevator Logs, Janitorial Log, Purchase Order Log, Vendor Certificates of Insurance, as‑built drawings, and various financial reports. Prepare budgets, monthly and quarterly financial reports, contracts, expenditures, and purchase orders related to the facility. Assist with capital budget development, contributing to a five‑year maintenance and improvement plan. Collect, analyze, and report statistical data to assess facility management objectives. Maintain thorough knowledge of management contracts, vendor agreements, and all requirements. Ensure tenants and vendors meet insurance requirements and coordinate claims. Proactively inspect the facility, systems, rooms, and common areas, reporting findings to the Facility Manager. Key Competencies Communication proficiency (oral and written) Technical proficiency Problem solving/analysis Leadership Teamwork orientation Relationship management Financial management Education Associate’s degree in facilities management, building, business, or related field (required). Bachelor’s degree preferred. Experience 3–5 years of relevant experience, preferably in commercial or industrial real estate with facility management responsibilities. Experience in maintenance, construction, engineering, and all facets of property operation and building management. Preferred: CMMS/Work Order Management experience. Eligibility Qualifications Industry certifications such as Certified Facility Manager (CFM), International Facilities Management Association (IFMA), or Building Owners and Managers Association (BOMA) recommended. Ability to read and understand construction specifications and blueprints. Proficiency in understanding management agreements and contract language. Skilled in Building Management Systems maintenance and monitoring. Strong computer and systems knowledge; proficiency in Microsoft Office Suite (Word, Excel, PowerPoint). Strong financial discipline including tracking, budgeting, and forecasting. Knowledge of Yardi or similar financial systems (a plus). Work Environment Professional office setting with standard office equipment (computers, phones, photocopiers, filing cabinets, fax machines). Travel may be required between properties. Physical Demands Requires regular communication, operating a computer, moving around the workplace, standing 50‑75% of the time, and extending hands and arms in any direction. Other Duties Additional duties may be assigned at any time with or without notice. These duties may vary slightly by regional location.
