Work Schedule Monday – Friday, 8am – 5pm; some evenings and weekends may be required. Summer Hours: Monday – Thursday, 7am–6pm. Job Summary The Division of Student Affairs supports student success and retention initiatives. The Office of Student Retention and Completion provides educational planning, resource awareness, and success strategies to promote persistence, retention, and graduation. The unit leads programs including Academic Advising, First-Year Success, TRiO, American Indian Institute, International Education, and Mesa College Promise. Purpose and Scope The Student Services Specialist provides programmatic support to academic advising and first‑year success services, coordinating front‑line student services, answering inquiries, assisting with appointment scheduling and event registration, processing applications and forms, and providing general advising support for course selection, registration, and completion. The role includes coordinating front desk services, updating records, data entry, reporting, staff scheduling, intake processing, event logistics, and communications with campus stakeholders. Essential Functions 35% Student Support Services: Provide level 1 academic advising support (course overrides, prerequisites, testing and placement, basic policies). Manage Academic Advising Center phone operations and assist students in person, by phone, or via virtual chat. Track student data and volume; assist with preparing for advising appointments. Maintain knowledge of college and department processes and policies; respond to emails and route inquiries as needed. Develop departmental training materials to support student operations. 30% Program Coordination Plan and execute special events and high‑stakes student programming; manage room reservations and communications with faculty and staff. Support communications and marketing strategies to advertise workshops and events in collaboration with Marketing and other departments. Develop knowledge and training materials to support student operations. 30% Administrative Support Determine appropriate advisor assignments based on program of study and goals; manage advisor updates in college systems. Coordinate day‑to‑day office operations and front desk activities; supervise part‑time staff or student workers. Lead front desk check‑in and case management; manage correspondence and website updates. Provide clerical support such as reporting, presentations, equipment requests, contact lists, and data entry; organize filing systems. Document advising services in the college software platform. 5% Compliance Be familiar with college catalogs and policies on credit and transfer; respond to subpoenas per policy and follow FERPA and related laws. Maintain confidentiality and accurate records for accreditation and policy compliance. Collaborate with Institutional Effectiveness to produce reports supporting policy development and enrollment requests. Review student records and advise actions; collaborate with administrators, faculty, and committees to ensure compliance with MCCCD/MCC policies. Other duties as assigned. Minimum Qualifications Associate’s Degree from a regionally accredited institution, and one year of full‑time student services or college teaching experience or related experience in educational program development, coordination, student advisement, financial aid, customer service, or related student development programs. OR An equivalent combination of the conferred degree and related full‑time work experience may be considered. Desired Qualifications Minimum 1 year experience in day‑to‑day office operations and customer service; receptionist duties and clerical tasks; front office support. Minimum 1 year experience planning and coordinating events or projects with multiple staff. Minimum 1 year experience in a student support area in higher education. Experience serving students or customers in a high‑volume environment. Proficiency with Google and Microsoft products, LMS, and SIS/CRM tools; customer service management knowledge. Proficiency in English and another language (Spanish preferred). One year of MCCCD experience in the previous two years. Special Working Conditions Standard schedule varies: August–mid‑May, Monday–Friday; mid‑May–July, Monday–Thursday. May require sitting for long periods and travel to other MCCCD locations. Travel to interview sites at candidate’s expense. MCC does not sponsor work visas.
