Position Summary:

The Service Dispatcher is responsible for efficiently scheduling and dispatching technicians to service calls while providing excellent customer service. This role also manages incoming phone calls, monitors the office email inbox, and supports various front office administrative tasks to ensure smooth daily operations.

Key Responsibilities:

• Receive and prioritize incoming service requests via phone, email, and internal systems

• Schedule and dispatch service technicians to customer sites efficiently

• Communicate job details clearly to technicians and ensure they are prepared for each task

• Monitor job progress throughout the day, providing updates to customers as needed

• Answer and route incoming phone calls professionally

• Manage the office email inbox, ensuring timely responses to customer and vendor inquiries

• Perform general front office duties including greeting visitors, accepting deliveries, and maintaining a tidy reception area

• Assist with data entry, filing, and updating customer records in company systems

• Coordinate with the service manager and other departments to support overall operational goals

• Handle urgent customer issues with empathy and proactive problem-solving

• Other administrative tasks as assigned

Qualifications:

• High school diploma or equivalent required

• Previous experience in dispatching, customer service, or administrative roles preferred

• Strong communication and organizational skills

• Ability to multitask in a fast-paced environment

• Proficient with Microsoft Office and comfortable learning scheduling or ERP software

• Positive attitude and strong team player
