The Accounting Clerk & HR Assistant supports the company’s daily accounts payable, accounts receivable, accounting-record maintenance, and employee administration activities. The position is responsible for accurate data entry, document organization, routine reconciliations, report preparation, and timely follow-up.

This position reports to the Controller and provides administrative support to Human Resources and other departments as needed.

Accounting responsibilities

• Match vendor invoices to purchase orders and receiving records and enter for payment.
• Apply customer payments to open invoices in the ERP system.
• Contact customers regarding past-due invoices and assist with resolving payment discrepancies.
• Complete routine bank reconciliations under the Controller’s supervision.
• Run standard month-end inventory, sales, tooling, and labor reports.
• Review reports for missing, incomplete, or unusual information and refer discrepancies to the Controller.
• Update inventory standard costs using information approved by the Controller or Operations.
• Compile tooling work-in-process information for month-end review.
• Maintain customer sales-tax exemption certificates and vendor W-9 forms.

• • Summarizing fixed-asset purchases and supporting schedules.
  • Gather invoices, payroll records, and other documentation as requested by accounting firm.
  • Distribute and collect employee questionnaires associated with the R&D tax credit.
• Compare customer invoices and inventory price lists to approved pricing.
• Maintain accounting files and supporting documentation.

HR and administrative responsibilities

• Review employee timecards for missing punches, time-off entries, and other exceptions.
• Follow up with employees and supervisors to obtain missing information.
• Assist with employee onboarding and orientation.
• Review basic workplace information with new employees, including the handbook, timeclock, lockers, breaks, and facility orientation.
• Assist with initial safety training and training documentation.
• Schedule Safety Committee meetings, distribute agendas, record minutes, and track follow-up items.
• Assist with company events and employee-appreciation activities.
• Provide backup coverage for reception, phones, and routine customer-service activities.
• Perform other related clerical and administrative duties as assigned.

This is a new position with-in the company and will evolve based on the skillset of the person hired. There is also a possibility this position could become a full-time position with full benefits in the future.
