- Coordinate work order distribution and ensure requests are assigned and addressed appropriately.
- Communicate regularly with engineers, facility managers, vendors, and internal teams to support day-to-day facility operations.
- Serve as a primary point of contact for engineers and facility managers regarding work orders, service requests, and operational needs.
- Manage vendor relationships and coordinate services to ensure work is completed efficiently and according to expectations.
- Order parts and materials needed for maintenance and facility operations.
- Prepare and process purchase orders and assist with invoice management.
- Work closely with the finance team on invoicing, forecasting, budgeting, and other financial activities.
- Monitor work order activity and help ensure requests are completed accurately and on schedule.
- Maintain accurate records, documentation, proposals, and other facility-related information.
- Coordinate with service providers and contractors to schedule repairs and maintenance activities.
- Travel to other nearby facilities as needed to support operations.
- Prioritize competing requests and adjust daily activities based on changing operational needs.
- Communicate detailed information clearly with internal teams, clients, vendors, and other stakeholders.
- Identify and resolve routine and non-routine issues using established procedures and available resources.
- Support additional facilities management activities and projects as assigned.
- High School Diploma or GED with 2-4 years of relevant experience.
- Experience coordinating work orders, vendors, contractors, or facilities-related activities.
- Strong multitasking and organizational skills with excellent attention to detail.
- Ability to prioritize tasks and adjust to changing schedules and operational needs.
- Strong written and verbal communication skills.
- Ability to collaborate effectively with clients, facility teams, vendors, and internal staff.
- Intermediate to advanced Microsoft Excel skills.
- Working knowledge of Microsoft Office products, including Excel, Word, and Outlook.
- Ability to work independently while also contributing effectively to a team environment.
- Ability to travel between nearby facilities as needed.
- Experience with Coupa or Maximo.
- Previous finance or accounting experience.
- Experience with purchase orders, invoicing, forecasting, or budgeting.
- Previous facilities management or commercial property experience.
- Experience working directly with engineers, facility managers, vendors, or contractors.
