Job Title: Talent Acquisition Executive Coordinator
Location: New York, NY (Hybrid – 3 days onsite: NYC or Stamford, CT)
Duration: 12 months contract with Potential Conversion
Role Summary:
Provide high-level coordination and administrative support to the Executive Talent Acquisition team, ensuring seamless execution of executive hiring processes and delivering a polished, high-touch candidate and stakeholder experience.
Key Responsibilities:
Executive Recruiting Coordination:
- Manage complex, executive-level interview scheduling across multiple stakeholders and time zones
- Coordinate last-minute changes, ensuring smooth communication and calendar alignment
- Prepare structured interview agendas and maintain recruiting documentation in Workday
- Act as a primary coordination point for executive candidates throughout the hiring process
Candidate Experience Management:
- Serve as a key contact for executive candidates, ensuring a professional and seamless experience
- Coordinate onsite and virtual interviews, including logistics, room setup, and day-of support
- Arrange candidate travel and process expense reimbursements
Stakeholder & Partner Support:
- Partner closely with recruiters, hiring leaders, executive assistants, and external search firms
- Support communication flow between all parties involved in executive hiring processes
Systems & Administrative Support:
- Maintain requisitions, interview records, and hiring documentation in Workday
- Support reporting, updates, and documentation accuracy for Talent Acquisition operations
Ad Hoc Support:
- Assist with recruiting projects and operational initiatives as needed
Ideal Candidate Profile:
- Experienced Executive Assistant, Recruiting Coordinator, or Senior Administrative professional
- Strong background supporting senior leaders and managing high-complexity scheduling
- Highly organized, detail-oriented, and calm under pressure
- Skilled in Microsoft Outlook, Teams, Word, Excel (Workday experience preferred)
- Comfortable handling confidential information with discretion
- Strong communication skills with executive-level presence
