Job Description Job Description Billing Specialist – HVAC Service Invoicing Location: Dallas, TX Pay: $22–$25 per hour, depending on experience Job Type: Full-Time About the Role We are seeking a detail-oriented and organized Billing Specialist to support our HVAC service billing operations. This role is responsible for preparing invoices, processing purchase orders, posting invoices to customer portals, and ensuring completed jobs are billed accurately and on time. The ideal candidate has strong attention to detail, experience with billing or accounts receivable, and the ability to communicate clearly with internal teams and customers regarding invoice questions or discrepancies. Responsibilities Prepare, review, and send invoices for completed HVAC service jobs. Process billing for customer purchase orders and verify charges for accuracy. Post invoices to customer portals while following customer-specific billing requirements. Review completed work orders and confirm billing details align with contract terms. Communicate with service, sales, and operations teams to resolve billing questions. Respond to customer inquiries related to invoices, billing status, and documentation. Maintain accurate customer records, billing files, and invoice documentation. Track billing activity and prepare reports for management as needed. Assist with month-end billing, account reconciliations, and other accounting support tasks. Help identify billing errors, missing information, or process issues before invoices are submitted. Qualifications Prior experience in billing, invoicing, accounts receivable, or administrative accounting. Experience with service, construction, HVAC, facilities, or contractor billing is a plus. Strong attention to detail and accuracy with numbers, invoices, and customer records. Comfortable working with customer portals, spreadsheets, and billing systems. Ability to manage multiple invoices, deadlines, and customer requirements. Strong written and verbal communication skills. Professional, organized, dependable, and able to work well with internal teams. High school diploma or equivalent required; additional accounting or business coursework is a plus. Preferred Experience HVAC, construction, or field-service billing experience. Purchase order billing experience. Customer portal invoicing experience. Familiarity with accounts receivable or month-end billing processes.
