Association Manager (Non-Profit)

Position Summary The Association Manager serves as the primary relationship manager and operational leader for one or more association clients. Working in partnership with volunteer Boards of Directors and under the guidance of the Executive Director or Director of Association Management, the Association Manager plans, coordinates, and executes strategic initiatives, governance, financial administration, membership programs, meetings and events, marketing efforts, and day-to-day operations. The Association Manager acts as a trusted advisor to volunteer leaders while ensuring exceptional member experiences and successful execution of organizational priorities. Position Type: Full-Time Key Responsibilities Governance & Board Leadership Serve as the primary liaison between assigned association clients and Paragon Events. Develop trusted relationships with volunteer board members and committee leaders. Advise boards on governance best practices, bylaws, policies, and organizational procedures. Prepare agendas, board packets, minutes, dashboards, and executive reports. Track board decisions and ensure timely implementation. Assist with strategic planning and annual goal development. Coordinate board elections, nominations, and governance processes. Maintain organizational records and compliance documentation. Client Relationship Management Build consultative relationships with assigned association clients. Anticipate client needs and recommend strategic solutions. Manage client expectations while ensuring contract deliverables are achieved. Identify opportunities to improve services and expand client engagement. Maintain high client satisfaction through proactive communication. Membership & Engagement Develop membership recruitment and retention initiatives. Monitor membership trends and recommend strategic improvements. Maintain the Association Management System (AMS). Analyze membership KPIs and prepare reports. Coordinate member communications and engagement campaigns. Support chapter development initiatives where applicable. Meetings, Conferences & Programs Manage planning and execution of board meetings, conferences, trade shows, educational programs, networking events, and webinars. Develop timelines and project plans. Coordinate vendors, venues, speakers, sponsors, exhibitors, and volunteers. Oversee onsite logistics and event execution. Conduct post-event evaluations and recommend improvements. Assist in development and administration of annual operating budgets. Monitor financial performance and budget variances. Review invoices, disbursements, and expense reports. Prepare financial reports for board review. Coordinate audits and annual filings as needed. Marketing & Communications Collaborate with the marketing team to develop annual communications plans. Coordinate newsletters, email campaigns, website updates, and social media content. Maintain brand consistency across communications. Track campaign analytics and recommend improvements. Assist with sponsorship marketing and promotional campaigns. Operational Excellence Develop and improve internal processes and SOPs. Maintain organizational calendars and compliance schedules. Identify operational efficiencies. Leverage technology and automation to improve service delivery. Maintain accurate organizational records and reporting. Leadership Mentor Association Administrators and interns. Foster collaboration and accountability across departments. Represent Paragon Events professionally with clients, members, sponsors, and vendors. Qualifications Bachelor's degree in Business Administration, Nonprofit Management, Communications, Marketing, Event Management, or related field. 5+ years of association management, nonprofit management, client management, project management, or related professional experience. Experience working with volunteer boards and membership organizations preferred. Experience managing meetings, conferences, and educational programs. Strong understanding of nonprofit governance and board relations. Financial literacy and budget management experience. Excellent written, verbal, and interpersonal communication skills. Outstanding organization and project management abilities. Strong analytical and problem-solving skills. Proficiency with Microsoft Office, Teams, and Association Management Systems (NOVI, StarChapter, Cvent, etc.). Familiarity with Monday.com, Smartsheets, Monday.com, or similar project management software preferred.
