Clinic Operations Lead — Cerebral Health | Bay Area, CA | Full-Time We're not a typical clinic. Cerebral Health exists for the patients everyone else has given up on, athletes who are months post‑concussion and still not right, accident survivors whose balance and cognition haven't returned, people who've been told their results are "normal" when their life clearly isn't. We take those cases seriously. And we get results. What sets us apart is how we work. Cerebral Health is one of the few clinics in the region offering neurological rehabilitation, utilizing advanced technology that most practices simply don't have. We diagnose with precision. We treat with tools that are genuinely cutting‑edge. And the patients who find us — often after exhausting other options — get better. That's the environment you'd be stepping into. The Role We're looking for a Clinic Operations Lead who is equal parts operator and relationship builder someone who can run a high‑performing clinic internally and go out into the community to grow it externally. Half of this role lives inside the clinic: managing your team, holding people accountable, building systems, and ensuring the day‑to‑day runs at a standard our patients deserve. The other half lives outside of it: getting in front of physicians, chiropractors, athletic trainers, urgent care providers, and other community stakeholders who should be sending their patients to us — and making sure they do. This is not a passive coordinator role and it is not a desk job. We operate on EOS (Entrepreneurial Operating System) — which means structured meetings, clear accountability, and real ownership over your results. What You'll Be Doing Day‑to‑Day Operations Oversee patient flow, scheduling, room readiness, and daily clinic logistics to ensure a seamless experience from first contact to discharge Identify and resolve workflow gaps before they become patient‑facing problems Manage vendor relationships, supply inventory, and facility maintenance Ensure clinic‑wide compliance with HIPAA, OSHA, and safety standards People Management Directly manage and hold accountable front office, administrative, and clinical support staff Participate in hiring end‑to‑end — from screening candidates to onboarding new hires with a structured training plan Address performance issues directly, including coaching, documentation, and initiating improvement plans when necessary Conduct quarterly conversations with direct reports to support development and accountability Systems & SOPs Build, maintain, and enforce Standard Operating Procedures across all clinic functions Operate and manage clinic systems including Google Workspace, Gusto, and EMR platforms Process payroll and personal injury checks accurately and on time Conduct regular audits across platforms and workflows to ensure accuracy and compliance KPI Tracking & Reporting Track performance metrics across all departments and maintain the clinic scorecard Identify trends, flag issues early, and bring data‑driven recommendations to leadership Participate in EOS L10 meetings and quarterly planning sessions with clear accountability for your numbers Business Development & Community Outreach Actively go out into the community to build referral relationships with physicians, chiropractors, urgent care providers, athletic trainers, physical therapists, and other providers who serve our patient population Conduct in‑person outreach — walking into offices, introducing Cerebral Health, and making a compelling case for why we are the right place for their concussion and TBI patients Develop and execute a structured outreach strategy with clear targets, activity tracking, and referral conversion metrics Attend community events, health fairs, and networking opportunities to elevate Cerebral Health's visibility across the Bay Area Manage and grow an active pipeline of referral partners; nurture relationships with consistent follow‑up and communication Collaborate with leadership to design and execute internal marketing initiatives that drive patient retention and re‑engagement Track referral source data and report on what's working, what isn’t, and where the next opportunity is You'd be a great fit if you: Have experience in sales, business development, account management, or community outreach — and are comfortable walking into a cold office and starting a conversation Have managed or coordinated a team in a healthcare or fast‑paced operations environment, or are early in your career and ready to take on real responsibility Are a natural relationship builder — people trust you quickly and you follow through Are naturally organized, data‑driven, and hold yourself accountable to outcomes, not just effort Can hold a team accountable with professionalism and clarity Are energized by both the internal grind of running a clinic and the external hustle of growing one Want to be part of something mission‑driven — where the partnerships you build directly determine how many patients get the care they need What You'll Get A front‑row seat to running a specialized, technologically advanced neurology clinic Direct mentorship from experienced clinical and operational leadership A structured development path with clear milestones and real room to advance Work that matters — our patients aren't coming in for routine care; they're coming in to reclaim their lives If that sounds like the kind of place you want to build your career, we'd love to hear from you.
