Position Summary: SmootDC's Marketing + Proposal Coordinator is an integral member of SmootDC’s Marketing, Business Development, and Community Outreach team. The Marketing + Proposal Coordinator supports pursuit production, proposal design, brand communications, and event coordination efforts that strengthen Smoot’s visibility, client relationships, and community impact. The work also spans cross-departmental initiatives, supporting company-wide marketing, community outreach, and workforce engagement efforts.

This work is rooted in powerful storytelling and high-impact design, helping to visually and narratively communicate the Smoot brand across every touchpoint

Primary Duties and Responsibilities:

• Proposal Development & Production: Format, design, and assemble proposals, qualifications, and presentations in alignment with SmootDC’s brand standards and pursuit strategy, ensuring timely, compliant submissions. • Creative Design & Brand Communications: Develop visual materials for digital and print platforms, including LinkedIn, project sheets, signage, and internal campaigns, maintaining consistent visual identity and storytelling tone across all materials to ensure cohesive, high-impact communication.
• Marketing Systems & Content Management: Maintain marketing content libraries, proposal templates, and project data to support accurate and efficient pursuit development.
• Event & Outreach Support: Assist with planning, logistics, and creative collateral for career fairs, community engagement, and workforce development events.
• Corporate Communications Support: Prepare and format decks, newsletters, and reports for internal and external audiences, ensuring alignment with company tone, culture, and mission.

Essential Skills, Certifications, and Experience:

• Proficiency with Adobe Creative Suite , including InDesign .
• Experience using SharePoint , email marketing platforms (e.g., HubSpot ), and WordPress content management systems.
• Proficiency with PowerPoint and presentation design.
• Strong ability to manage multiple priorities and deadlines in a fast-paced environment.
• Willingness to take on multiple roles and responsibilities based on team needs.
• Efficient in Microsoft Office Suite , with intermediate proficiency in Excel .
• Outstanding written and verbal communication skills.
• Excellent interpersonal skills with a collaborative, solutions-oriented mindset.
• Demonstrated attention to detail, organization, and accountability in all deliverables.
