Warehouse Manager, Multi-Site Operations Department: Operations – Logistics & Warehousing Reports to: Director of Logistics and Warehousing Location: Somerset, NJ – On-Site Classification: Full-Time, Exempt About the Role Scentbird is looking for an experienced Warehouse Manager, Multi-Site Operations to lead warehouse operations across our Somerset, New Jersey campus. This role oversees two distinct but connected warehouse environments: a high-volume warehouse supporting our direct-to-consumer fulfillment operation and a manufacturing support warehouse serving our fragrance and cosmetics production facility. The Warehouse Manager will lead through Warehouse Supervisors and Leads, with responsibility for safety, material flow, inventory integrity, warehouse productivity, training, and operational performance across both buildings. This is also a role for someone who enjoys building what comes next. Scentbird continues to invest in warehouse technology, automation, and process improvement. The Warehouse Manager will be an important operational partner in modernizing our warehouse systems and processes while developing the team that will operate them. At the center of the role is a simple operating principle: Nothing moves physically unless it moves in the system. Nothing moves in the system unless it happens physically. What You'll Do Multi-Site Warehouse Leadership Lead warehouse operations across two nearby facilities, creating consistent standards for safety, material control, training, system discipline, and performance. Lead through Warehouse Supervisors and Leads, establishing clear expectations and developing a strong leadership bench across both buildings. Balance labor, equipment, space, and priorities against manufacturing requirements, inbound schedules, fulfillment demand, wholesale requirements, and other operational needs. Build effective daily and weekly operating rhythms using measurable performance indicators rather than anecdotal reporting. Develop cross-training and certification programs that strengthen flexibility and reduce dependency on individual team members. Support departmental labor planning, equipment requirements, warehouse capacity planning, and operating budget development. Manufacturing & Material Flow Own warehouse support of manufacturing, including accurate and on-time picking, splitting, staging, movement, and reconciliation of components and bulk materials against production work orders. Ensure manufacturing materials are available when required and that shortages or constraints are identified and escalated before they affect production. Maintain disciplined lot, pallet, location, and material-movement controls throughout the manufacturing support warehouse. Ensure physical inventory movement is accurately reflected in the WMS and ERP systems. Partner closely with Production Planning, Manufacturing, Quality, and Inventory Control to maintain reliable material flow from receiving through production and into finished goods. Drive continuous improvement in staging accuracy, material availability, reconciliation, and warehouse-caused production delays. Safety & Compliance Safety is a critical component of this position. Our manufacturing support warehouse handles bulk fragrance, flammable liquids, and other regulated materials and requires a leader who treats safe operation as a fundamental responsibility rather than a compliance exercise. Lead warehouse safety practices across both facilities in partnership with Environmental Health & Safety. Maintain disciplined standards for flammable-liquid storage and handling, grounding and bonding, hazardous material handling, hazardous waste, PPE, powered industrial trucks, and material-transfer activities. Ensure required inspections, training, certifications, and documentation remain current. Maintain safe storage practices, equipment condition, racking integrity, housekeeping, emergency access, and spill-response readiness. Participate actively in job hazard analysis, incident and near-miss investigation, corrective actions, and safety improvement initiatives. Create an environment where employees are expected and empowered to stop work when a condition is unsafe. Fulfillment Warehouse Support The Warehouse Manager does not directly manage Scentbird's order fulfillment production teams. This role manages the warehouse operations that keep those teams supplied, supported, and able to execute. Through the Warehouse Operations Supervisor, lead inbound receiving, put-away, replenishment, warehouse material movement, dock operations, wholesale staging, and lift-truck activities. Maintain reliable forward-pick replenishment and material availability so fulfillment operations are not interrupted by warehouse constraints. Manage dock and staging performance, including inbound appointments, carrier dwell, trailer movement, load securement, carrier segregation, and congestion. Support warehouse slotting, storage configuration, re-warehousing, and capacity optimization in partnership with Inventory Control and Fulfillment Operations. Maintain clean and accurate movement of finished goods between the manufacturing support warehouse and fulfillment warehouse. Partner closely with Fulfillment leadership to anticipate volume requirements and resolve warehouse constraints before they affect customer orders. Inventory & Quality Own warehouse execution of cycle counting and inventory‑control processes across both buildings in partnership with Inventory Control. Maintain disciplined location, lot, pallet, and unit‑load integrity throughout warehouse operations. Investigate recurring inventory discrepancies to root cause and correct the process creating them. Maintain effective receiving, hold, reject, quarantine, and material‑disposition processes in partnership with Quality. Ensure materials awaiting inspection or disposition are clearly identified, physically controlled, systemically accurate, and readily accessible. Support audit readiness and maintain warehouse compliance with applicable GMP and quality‑system requirements. Scentbird is continuing to modernize its warehouse technology and material-handling environment. This role will help translate operational needs into practical systems and processes that work on the floor. Serve as a warehouse process owner for WMS workflows, location and zone configuration, RF processes, operating rules, user adoption, and training. Represent warehouse operations in WMS improvements, testing, implementation, cutover, and stabilization. Support the implementation and expansion of warehouse automation, including technologies related to picking support, sortation, labeling, material movement, storage, and replenishment. Help redesign processes, layouts, staffing models, and standard work as new technology is introduced. Identify opportunities to eliminate unnecessary handling, manual transactions, spreadsheet‑based work, and recurring operational exceptions. Develop meaningful warehouse reporting that supervisors and managers can use to run the operation. Lead change with the team by communicating the purpose, preparing employees before implementation, and maintaining operational stability through transition. Coach and develop Warehouse Supervisors and Leads with clear goals, regular feedback, and measurable development plans. Build succession depth and cross‑functional capability across both warehouse teams. Establish expectations around safety, accountability, productivity, inventory discipline, and leadership presence. Maintain training and certification requirements by role. Build a culture that solves problems at their source rather than repeatedly managing the same exceptions. Work effectively across Manufacturing, Fulfillment, Quality, Inventory Control, EHS, Production Planning, Transportation, Facilities, and IT. What We're Looking For 7–10+ years of progressive warehouse, distribution, or manufacturing‑support experience. At least 4 years of experience leading through supervisors, team leads, or other frontline leaders. Experience managing multi‑site, multi‑shift, or multi‑function warehouse operations. Meaningful experience working in a regulated, hazardous‑material, chemical, fragrance, cosmetics, pharmaceutical, food, paint/coatings, or similar operating environment. Experience supporting manufacturing through component picking, kitting, staging, material movement, or work‑order execution. Working experience within a GMP, FDA, ISO, or similarly controlled quality environment. Strong safety leadership, including experience with powered industrial trucks, PPE programs, hazardous‑material handling, job hazard analysis, and incident investigation. Strong WMS experience, preferably as a process owner or operational configuration partner rather than solely as an end user. ERP integration literacy and a strong understanding of inventory transactions and system‑of‑record discipline. Demonstrated ability to manage operations using metrics, reporting, and root‑cause analysis. Experience leading teams through significant process, technology, layout, or operational change. Comfort working with warehouse automation and a genuine interest in how technology can improve safety, productivity, accuracy, and material flow. Strong written and verbal communication skills with the ability to work effectively from the warehouse floor through senior leadership. Ability to work on‑site across both Somerset facilities with flexibility to support multiple shifts, peak periods, system cutovers, and occasional weekend requirements. Preferred Qualifications Bilingual English/Spanish strongly preferred. Bachelor's degree in Supply Chain, Operations, Industrial Engineering, Business, or a related field; equivalent relevant experience will be considered. Experience supporting both manufacturing operations and high‑volume eCommerce or direct‑to‑consumer environments. Direct participation in a WMS implementation or major warehouse technology deployment. Experience with warehouse automation such as pick‑to‑light, sortation, print‑and‑apply, AMRs, goods‑to‑person, or automated storage and retrieval. Lean, Six Sigma, 5S, Kaizen, or other structured continuous‑improvement experience. Familiarity with regulations and standards applicable to flammable liquids, hazardous materials, hazardous waste, and cosmetic or manufacturing GMP environments. What Success Looks Like Success in this role means creating a safer, more consistent, and more measurable warehouse operation across both facilities. You will improve manufacturing material availability and staging performance, strengthen inventory accuracy and system discipline, provide reliable warehouse support to fulfillment, and develop stronger supervisors and leads. You will also help Scentbird introduce new warehouse technology and automation while maintaining service, safety, and employee engagement through change. The result should be a warehouse organization capable of supporting significantly greater volume without simply adding people and complexity at the same rate. Physical Requirements & Work Environment This is an on‑site role working across active warehouse and manufacturing environments in two nearby buildings. Regular walking, standing, and access to warehouse, dock, stair, and mezzanine areas is required. The role requires regular presence in areas where fragrance concentrates, flammable liquids, and other regulated materials are stored and handled. Required PPE may include safety footwear, eye protection, high‑visibility apparel, gloves, and additional task‑specific protective equipment. Ability to operate, or become certified to operate, powered industrial trucks where required. Ability to lift up to 50 pounds occasionally. Flexibility to support off‑shift operations, peak periods, system implementations, and occasional weekend or emergency requirements.
