Chair Assistant

Job Summary Under direct supervision of the Dean, this position provides clerical assistance to the assigned Department Chair(s) for the College. Duties include disseminating information to departmental employees as assigned by the Department Chair(s); assisting Department Chair(s) in performing tasks; and providing general clerical support. Duties and Responsibilities Submit departmental meeting agendas and summaries to Department Chair(s). Order supplies and equipment for Department Chairs as requested, including initiating requisitions. Assist the Department Chairs in preparing new and returning Adjunct Instructors with syllabi, textbooks, software, and systems. Coordinate and order textbooks in collaboration with Department Chairs. Assist in the coordination of Advisory Committees. File, copy, type, and complete data entry for Department Chairs as requested. Answer telephones. Complete all other duties and responsibilities as assigned. Qualifications, Knowledge and Skill Requirements Associate degree; two (2) years of related work experience; or any equivalent combination of education, training, and experience. Office Administration Certificate from Indian River State College desired. Knowledge of basic office functions and equipment. Knowledge of telephone etiquette. Skill in organizing, typing, word processing, data entry, filing, scheduling, and managing time. Skill in delivering customer service. Skill in working with Microsoft Office and Windows-based applications. Ability to be accurate and detail-oriented, flexible, use good judgment, multi-task, be people-oriented, handle varying deadlines, be self‑motivated, interact with the public, and work independently as well as with others. Physical Demands This position requires sedentary work. It involves lifting no more than 10 pounds at a time and occasionally lifting or carrying items such as docket files, ledgers, and small tools. Light walking and standing are occasionally required. Compensation Pay range starts at $15.45/hour. The position is exempt from FLSA. Employment is regular, non‑supervisory.
