Dental Front Desk Representative

Job Location: Richmond, VA 23223 – Dental Front Desk – Richmond, VA — On‑Site Position Job Summary The Dental Front Desk Representative is responsible for answering phone calls for Capital Area Health Network, particularly for the Dental Department; scheduling appointments, leaving messages for providers and other staff members, responding to general inquiries, and providing solutions to callers’ questions and concerns. Essential Functions Answer phones and respond to appointment scheduling inquiries with high‑level customer service. Provide effective, courteous communication to understand patients’ needs and purpose of visit, demonstrating professionalism and interpersonal skills. Educate patients on the importance of follow‑up appointments and schedule appointments that support office flow. Collect patient information and enter data into the electronic health record, updating changes as needed. Maintain HIPAA and client confidentiality. Facilitate effective communication between patients, providers, and staff. Interact positively with a diverse patient population and demonstrate knowledge of skills necessary to meet their physical, educational, and safety needs. Perform other administrative duties and related tasks assigned by management. Develop, implement, and maintain a professional company image through phone interaction. Maintain records: develop, organize, file, and general maintenance; complete call notes and document all communications with patients promptly; alert supervisor of trends in patient calls. Identify, research, and resolve patient issues using the necessary computer system and elevate as needed per chain of command. Confirm appointments 1week and 1day before office visit. Monitor assigned voicemails and messages to the appropriate party. Schedule Monday‑Friday 8:00a.m. – 5:00p.m.; occasional extended hours; on‑site position. Minimum of two years’ experience in a medical office environment as a dental assistant or front desk representative, or an equivalent combination of education, training, and experience that provides the required knowledge and abilities. DANB Certification preferred. Basic office skills: typing, faxing, scanning, and telephone etiquette. Preferred experience and proficiency in Dentrix. Qualifications Excellent written and oral communication skills. Attention to detail. Ability to plan and organize work. Physical strength necessary to lift mail bins, boxes, and related items. Ability to operate office equipment and basic computer skills.
