We are seeking an Assistiant Construction Project Manager to join our team! Construction Project Manager Administrator: provides vital logistical and clerical support, ensuring the seamless execution of construction projects by managing documentation, tracking budgets, and facilitating communication between project managers, contractors, and clients. 

Summary/Objective

We are seeking an organized and detail-oriented Construction Project Administrator to support our project management team. In this role, you will act as the central hub of communication, ensuring that project documentation, contracts, and financial tracking are handled accurately to keep our projects on time and within budget. 

Key Responsibilities

1. Project Documentation & Administration

• Create, organize, and maintain comprehensive project files, including contracts, subcontracts, and change orders.
• Manage construction documents such as Requests for Information (RFIs), submittals, architectural drawings, and specifications.
• Review and summarize Home Inspection reports 
• Schedule project meetings and visually remote walkthroughs,  prepare agendas, and distribute accurate meeting minutes.

2. Financial & Budget Tracking

• Assist with reviewing and processing invoices, purchase orders, and contractor scope of works.
• Monitor project budgets and spending, troubleshooting potential financial discrepancies before they escalate.
• Tabulate quantities and support the reconciliation of project costs.

3. Compliance & Vendor Coordination

• Verify that all contractors meet insurance, licensing, and compliance requirements before starting work.
• Assist in gathering municipal permits, utility connections, and necessary regulatory approvals.
• Source new suppliers or materials and contractors when needed. 

4. Project Closeout

• Compile final project closeout packages, including warranties, closed out permits
