Project Management Office - Administrative Coordinator

Based in New York, our team and clients are spread across the U.S. Role Description Just-Techis seeking a part-time PMO Administrative Coordinator to serve as the operational hub of our project management function. This is not a project management role. It is the role that makes project management work. The PMO Administrative Coordinator keeps projects moving by ensuring nothing falls through the cracks. You will monitor PMO communication channels, make sure client and internal communications are routed and acted on, keep project-related scheduling on track, and flag anything that needs PM attention before it becomes a problem. Your consistency and follow-through directly shape the experience clients and colleagues have working with Just-Tech. This role is also the connective tissue between the PM team and the rest of the organization. You willmaintaina running picture of open communications and outstanding items across the portfolio, acting as a second set of eyes with this as your primary focus. That kind of sustained attention is genuinely hard tomaintainwhen you are also running projects. That is why this role exists. Just-Tech serves nonprofit legal aid programs and legal aid funders across the United States. Experience in legal aid, nonprofit, or other mission-driven environments is strongly preferred for this role. Genuine interest in the access-to-justice mission matters more than direct legal aid background. Work Location & Schedule Remote within the United States. Part-time, approximately 24 hours per week across 3 days. Specific days are flexible and will be agreed upon at hire. Core collaboration hours fall within 9:00 a.m. to 6:00 p.m. ET. Travel Not required. Status Non-Exempt Salary Range This is a part-time, non-exempt position. The hourly pay range for this role is $25.00 to $28.00 per hour, commensurate with experience. Primary Responsibilities Operations & Communications Hub Monitor PMO communication channels, including email, Teams, and the PM tool, for incoming client and internal communications that require routing, response, or follow-up. Maintain a running log of open internal and external communications across the portfolio; flag items that are unresolved or approaching a response deadline to the PM team. Ensure client inquiries and scheduling requests receive prompt, professional responses; route to the appropriate PM when judgment or decision-making is required. Coordinate project-related scheduling: client calls, internal standups, kickoffs, and status reviews. Prepare meeting agendas and distribute materials in advance; document action items and decisions and distribute follow-up summaries. Track open action items across projects and follow up with assigned owners to confirm completion. Documentation & Administrative Support Maintain organized, current project files in SharePoint in accordance with PMO naming and filing conventions. Support new project onboarding by preparing standard documentation and ensuring setup steps are initiated. Assist with ConnectWise data entry and record maintenance as directed by the PM team. Support PMO reporting activities by compiling status information, organizing data, and preparing draft summaries. Contribute to the development and maintenance of PMO templates and reference materials. PMO Quality & Execution Maintain accurate, contemporaneous time records in ConnectWise in alignment with organizational standards. Support PMO compliance with documentation and communication standards across the project portfolio. Participate in PMO team meetings and contribute to ongoing process improvement efforts as applicable to this role. Qualifications 2+ years of experience in an administrative, executive assistant, operations coordinator, or project support role. Exceptional attention to detail and follow-through. You notice what is open, you act on it, and you do not need to be reminded twice. Clear, professional written communication; ability to represent the PMO in client-facing correspondence. Strong organizational and prioritization skills; comfortable managing multiple open threads simultaneously. High proficiency with Microsoft 365, including Outlook, Teams, SharePoint, and Excel. Genuine connection to the mission: understanding of or commitment to nonprofit legal aid, access to justice, or adjacent public interest work. Preferred Qualifications Experience in a consulting, legal services, nonprofit, or professional services environment. Familiarity with ConnectWise Manage or a comparable PSA, CRM, or ticketing platform. Experience supporting a project management team or PMO function. Comfort with scheduling and coordination across multiple time zones and stakeholder groups. Benefits Summary This is a part-time, non-exempt position. The hourly pay range for this role is $25.00 to $28.00 per hour. The actual rate offered will depend on factors including relevant experience, skills, and qualifications.
