HR Union Payroll Specialist

Job Summary The Human Resources Specialist will provide various HR and labor relations support. This role will administer employee benefits, collective bargaining (union) reporting, union contract management, and maintain personnel records. The Specialist will also manage HR documents, verify data and update internal databases, balancing administrative tasks in a timely manner while supporting employees and conforming to labor laws. Essential Duties & Responsibilities Process and prepare monthly reports for collective bargaining employees, including hours worked, dues, benefits, and other required data. Maintain all HR software functions (COINS, Bswift, etc.) for new hires, terminations, personnel updates, and benefit enrollment records. Support audits by preparing documentation and responding to requests related to union employee data. Coordinate correspondence and communications related to union matters. Provide support and guidance to employees regarding benefits changes and information. Assist the HR team with pre‑hire and new‑hire processes, E‑Verify, and enter personnel data in the HR system when needed. Process new hires, follow up, and ensure all required paperwork is completed. Handle personnel changes and requests, processing them in a timely manner. Conduct accurate computer data entry and verify data quality. Run payroll reports for weekly payroll needs, audits, and special projects. Work with branches to ensure new hire, termination, and pay‑change paperwork complies with company standards. Adhere to strict confidentiality guidelines. Participate in HR projects, special tasks, and other duties as assigned. Qualifications High school diploma or GED required; associate degree preferred. 3+ years of HR support experience. 2+ years in a unionized environment, working with collective bargaining/union reporting processes. Proficiency with MS Office, Excel, and COINS (OA) a plus. Strong ability to organize and coordinate multiple tasks. Effective written and verbal communication skills. Strong attention to detail and data accuracy. Ability to coordinate with a team and work well with others.
