Job Title: Maintenance Administrator Location: US-CA-Palo Alto Job ID: 2026-6166 | # of Openings: 1 | Category: Maintenance Company: Sares Regis Group, Newport Beach, California Property: Stanford West, 628-unit community Overview The Maintenance Administrator is responsible for greeting guests and vendors, promptly answering telephone calls, and setting the first impression to reflect the professional image of the property and company. ESSENTIAL DUTIES AND RESPONSIBILITIES Greets visitors and vendors, directs them to appropriate staff, answers telephone calls, and communicates messages. Records and distributes service order requests, sorts and distributes mail, assists in creating and distributing resident communications, and maintains logs and data input. Reads, follows, and implements company handbooks, employee handbooks, property policy manuals, and governing documents. Identifies and resolves problems in a timely manner, gathering and analyzing information skillfully. Maintains a professional, calm demeanor while managing difficult situations, focusing on conflict resolution, maintaining confidentiality, and listening well. Speaks and writes clearly and persuasively, participates in meetings, and produces accurate and grammatically correct documents. Demonstrates knowledge of fair housing law and remains tactful and focused under pressure. QUALIFICATIONS At least 1 year of related experience and proven ability to pass fair housing exam. Ability to read and interpret procedure manuals, safety manuals, lease agreements, technical procedures, and governmental regulations. Ability to write routine reports and correspondence, present information to managers, clients, customers, and the general public. Knowledge of operations software used at the property level: Outlook, Internet software, Excel, and Word. Ability to interpret written, oral, diagram, or schedule instructions and work with customers professionally. Current driver's license and auto insurance. COMPENSATION AND BENEFITS Salary range: $23.00‑$24.00 per hour. Full‑time employees (30‑40 hours per week) are eligible for medical, dental, vision, voluntary benefits, vacation accrual, and sick time accrual. Other benefits include 401(K) match, rental incentives & renewals, bonuses, and rental discounts. WORK HOURS Tuesdays–Saturdays, 9:00 am–6:00 pm.
