Operations Manager – CPA Firm

At Magone & Company, strong operations are the foundation of exceptional client service. We’re seeking an experienced Operations Manager to help coordinate the people, systems, processes, and administrative functions that keep our growing CPA firm running effectively.

Reporting directly to the CEO, this highly visible role works closely with firm leadership, Partners, managers, and employees across the organization.

About the Role
 
The Operations Manager will oversee day-to-day firm operations while supporting financial administration, workflow, technology, benefits, vendors, human resources, and general administration.

This role is ideal for someone who is organized, proactive, resourceful, and comfortable managing multiple priorities in a professional-services environment.

What You’ll Do
 

• Work closely with the CEO and firm leadership on operational priorities, staffing needs, budgets, and firm initiatives
• Coordinate day-to-day firm operations and improve administrative processes and procedures
• Support budgeting, billing, collections, expense reporting, and management reporting
• Monitor key firm metrics, including utilization, realization, staffing capacity, and workflow
• Coordinate practice-management, time-and-billing, client setup, scheduling, and due-date processes
• Identify workload and deadline conflicts and work with leadership to resolve them
• Coordinate technology needs, software implementations, cybersecurity, and IT vendors
• Lead human resources and talent acquisition functions
• Maintain compliance, CPE, peer-review, governance, and firm records
• Manage vendor relationships, office services, equipment, and administrative resources
• Support marketing, client communications, firm events, and special projects
• Recommend improvements that increase efficiency, accountability, and employee and client service

What You’ll Bring
 

• Progressive experience in office management, firm administration, or operations within a CPA firm, accounting firm, or professional-services organization
• Experience across multiple functions, including finance, workflow, technology, benefits, HR and administration
• Understanding of CPA-firm operations, including time and billing, staffing, deadlines, utilization, and realization
• Strong organizational, project-management, communication, and problem-solving skills
• Experience implementing procedures and improving processes
• Strong judgment and discretion when handling confidential information
• Ability to work independently, anticipate needs, and follow through
• Strong technology skills and comfort learning new systems
• Bachelor’s degree in business, accounting, or a related field preferred
• CPAFMA, PAFM, SHRM, CPA, or similar credential is a plus

Compensation & Benefits
 

Salary: $100,000–$110,000, based on experience.
