Staffing / Central Supply / Medical Records Coordinator Job Summary The Staffing / Central Supply / Medical Records Coordinator is responsible for coordinating nursing staff schedules, managing the facility's medical records, and overseeing central supply operations to ensure efficient daily operations. This position plays a vital role in supporting clinical and administrative teams by maintaining appropriate staffing levels, ensuring the accuracy and confidentiality of medical records, and managing medical supplies and equipment necessary for quality resident care. Primary Responsibilities Staffing Coordination Develop and maintain master and daily staffing schedules for RNs, LPNs, CNAs, and nursing assistants. Schedule staff according to budgeted hours, staffing ratios, and resident census. Monitor staffing needs and make schedule adjustments to ensure adequate coverage. Present proposed schedules to the Director of Nursing for review and approval. Notify leadership of staffing shortages, schedule changes, and coverage needs. Verify daily time clock reports and identify payroll discrepancies. Attend daily morning meetings to review staffing and communicate open shifts. Collaborate with the Administrator, Director of Nursing, Human Resources, and Payroll regarding staffing updates, new hires, terminations, and labor verification. Maintain staffing and orientation schedules in compliance with facility policies. Medical Records Maintain the accuracy, security, and confidentiality of resident medical records. Collect, process, scan, file, retrieve, and distribute medical records in accordance with facility policies and HIPAA regulations. Process resident admissions, transfers, and discharge documentation. Obtain missing physician signatures, reports, laboratory results, diagnostic testing, and other required documentation. Organize and maintain medical records for audits, surveys, and regulatory compliance. Maintain accurate resident demographic information. Assist departments with medical record requests and documentation needs. Ensure proper retention and disposal of medical records according to facility policy. Central Supply Order, receive, inventory, and distribute medical and nursing supplies throughout the facility. Maintain adequate inventory levels while controlling supply costs. Stock nursing units and clinical departments with required supplies and equipment. Monitor supply usage and communicate purchasing needs. Ensure supplies are stored safely and organized according to infection control and regulatory standards. Coordinate equipment maintenance and repairs as needed. Work with vendors to ensure timely delivery of supplies and resolve discrepancies. Qualifications High school diploma or GED required; additional college coursework or healthcare-related education preferred. Previous experience in staffing, scheduling, medical records, central supply, or long-term care preferred. Certified Nursing Assistant (CNA) certification preferred. Knowledge of staffing practices, scheduling systems, medical terminology, and medical record management. Experience with Microsoft Office and electronic medical record (EMR) systems preferred. Excellent organizational, communication, and multitasking skills. Strong attention to detail and ability to maintain confidentiality. Ability to prioritize multiple responsibilities in a fast-paced healthcare environment. Physical Requirements Ability to sit, stand, walk, bend, and lift up to 30 pounds as needed.
