Payroll Specialist

Rick's Custom Fencing & Decking is seeking a detail-oriented Payroll Specialist to support accurate, timely, and compliant payroll processing across multiple operating companies and states. This role is critical to maintaining payroll integrity as Rick's Custom Fencing & Decking scales through acquisition, and works closely with HR, Accounting, and external payroll & benefits partners to ensure employees are paid correctly and on time.

Key Responsibilities

• Process multi-state, multi-entity payroll on a biweekly basis with a high degree of accuracy
• Validate hours, deductions, garnishments, bonuses, and commissions prior to each payroll run
• Maintain payroll records and ensure data integrity across the HRIS and payroll systems
• Partner with ADP and other third-party payroll providers to resolve processing issues
• Support 401(k) contribution processing, reconciliation, and reporting in coordination with plan administrators
• Respond to employee payroll inquiries with professionalism and discretion
• Ensure compliance with federal, state, and local wage and hour regulations across all operating states
• Assist with quarter-end and year-end payroll processes, including W-2 preparation and audits
• Support payroll integration activities for newly acquired operating companies
• Maintain accurate payroll documentation to support internal and external audits
• Identify and recommend process improvements to increase payroll accuracy and efficiency

Qualifications

• 2+ years of payroll processing experience, multi-state experience strongly preferred
• Working knowledge of ADP or similar payroll platforms
• Understanding of federal and state wage and hour laws
• Strong attention to detail and a high level of accuracy under deadline pressure
• Proficient in Microsoft Excel
• Ability to handle confidential information with discretion and professionalism
• Strong organizational and time management skills
• Experience supporting payroll in a decentralized, multi-entity, or field-based workforce environment is a plus
• Experience in a private equity-backed or acquisition-driven environment is a plus
