The College of Education has an outstanding opportunity for a Graduate Admission and Enrollment Adviser to join their team.
About this OpportunityReporting to the Associate Director of Graduate Academic & Student Services, the Graduate Admission & Enrollment Adviser will have an important role on the Office of Student and Academic Services (OSAS) team by focusing on support for prospective and admitted students in Master of Education (M.Ed.), Educational Specialist (Ed.S.), and Doctor of Philosophy/Education (Ph.D. and Ed.D.) programs. The Graduate Admission & Enrollment Adviser will receive additional guidance and support from the Director of Admission & Enrollment and the Assistant Dean for Academic & Student Affairs and will collaborate closely with other OSAS team members. A closely related responsibility will be to collaborate with faculty to provide a welcoming and positive experience for prospective and admitted graduate students as they navigate the admission and enrollment process.
An important aspect of the work will involve serving as the primary point of contact for prospective and admitted graduate students and to enhance the experience of those students, with an emphasis on supporting recruitment and enrollment efforts that broaden access to graduate education and reach a broad range of qualified prospective students. For this reason, experience supporting prospective, admitted, or enrolled graduate students through advising, recruitment, admissions, enrollment, or student services is an important criterion for the role.
Key Responsibilities:
Recruitment / Prospective Student Support 30%
- Advise prospective students on College of Education non-teaching graduate programs
- Hold weekly advising meetings, by appointment and/or via office hours, for prospective graduate students
- Respond to prospective student inquiries received via email and phone; support prospective inquiry responses received by Office of Student and Academic Services front desk
- Plan, host, and/or facilitate information sessions for College of Education non-teaching graduate programs
- Attend in-person graduate education fairs and other recruitment events
- Maintain upcoming events pages on College of Education website and/or in Slate
- Maintain and refresh marketing drip campaigns in Slate, working in conjunction with the Director of Program Marketing
- Collaborate with undergraduate advising team on outlining graduate school pathways for College of Education undergraduate degree programs
- Collaborate with internal teams and/or campus partners on outreach and recruitment strategies that broaden access to graduate education and support a welcoming experience for all qualified applicants.
Applicant Support 30%
- Maintain and edit admissions pages on College of Education website, including topics such as how to apply, application requirements, what happens next, FAQs, etc.
- Stay current on graduate application and admissions policies by attending Graduate School sessions and reviewing policy and procedure information; collaborate closely with the Director of Admissions and Enrollment to implement needed policy changes.
- Respond to applicant inquiries received via email and phone; support applicant inquiry responses received by Office of Student and Academic Services front desk
- Hold weekly advising meetings, by appointment and/or via office hours, for applicants
- Assist applicants with Slate (Graduate School application platform) troubleshooting, including application materials updates and status updates.
- Communication with applicants about next steps around timelines, funding opportunities, international applicant processes, etc.
- Respond to applicant inquiries about funding for graduate studies, explaining options and providing information about applying for funding
Admitted Student Support & Recruitment 20%
- Advise admitted students on College of Education non-teaching graduate programs
- Hold weekly advising meetings, by appointment and/or via office hours, for admitted graduate students
- Respond to admitted student inquiries received via email and phone; support admitted inquiry responses received by Office of Student and Academic Services front desk
- Communicate with admitted students and faculty to facilitate and coordinate admitted student communication with assigned faculty advisors
- Maintain and edit admitted student pages on College of Education website
- Lead the Admitted Student Outreach Campaign (ASOC), including hiring & supervising student callers, preparing scripts and FAQs for student callers, and associated logistical support
- Plan, publicize, and execute Admitted Student Days event(s) for admitted graduate students
- Administer a transparent, consistent and need based process for awarding travel funding to admitted students visiting the University of Washington and the College of Education
- Outreach to applicants who have not indicated intent to enroll
Incoming Student Support 20%
- Communicate with incoming students and faculty to facilitate and coordinate incoming student communication with assigned faculty advisors
- Provide Autumn quarter (and Summer quarter if needed) registration support to incoming students
- Connect incoming students to UW resources, i.e. HuskyCard, housing, residency, etc.
- Support IslandWood students transitioning to the Seattle campus, i.e. connecting them to UW resources and serving as a point of contact in the College
- Collaborate with team and/or campus partners on inclusive community building and professional development opportunities that support belonging, access, and participation for ALL students, including students from varied educational, geographic, cultural and international backgrounds

Required Qualifications

Equivalent education and/or experience may substitute for minimum qualifications except when there are legal requirements, such as a license, certification, and/or registration.
Minimum Qualifications
- Bachelor’s degree in education, social sciences, or a related field, to include 3+ years of experience working with students in an advisory, recruiting, or counseling capacity.
- Applicants who do not meet these qualifications WILL NOT be forwarded to the Hiring Manager.
Additional Qualifications
- Demonstrated experience developing or implementing recruitment, outreach, advising, or retention initiatives that broaden participation in graduate education.
- Demonstrated ability to use relational databases, web-based technologies, and an ability to integrate these technologies into educational and student-support environments.
- Excellent customer service and interpersonal communication skills, including experience working with individuals from diverse backgrounds.
- Proficiency with Microsoft Office (Word, Excel, Access), Google Suite, relational databases, multi-user calendaring systems, online communications (email and instant messaging).
Preferred Qualifications
- Master’s degree in education or a related field of study.
- Knowledge of the field of education as a discipline of study.
- Familiarity with policies and procedures of the University of Washington and/or the UW College of Education.
- Experience in academic advising, recruiting, and/or admissions with graduate student populations.
- Ability to multitask in a fast-paced environment.
- Sensitivity and ability to handle highly confidential information.
About the Team
The Office of Student and Academic Services (OSAS) in the College of Education serves as the central office of support for undergraduate and graduate students as well as faculty and staff. Services include, but are not limited to, advising for prospective and current students, degree completion, registration troubleshooting, professional and career development, and connecting students to UW resources.
