Accounts Payable Specialist Job Description Daily review and process of vendor invoices, petty cash requests, and staff expense reimbursements Codification and posting of A/P to the general ledger Scanning of documents to and maintenance of the A/P database Weekly review and presentation of the expense report to the Controller, explanation of material variances Allocation and entry of legal research time and expenses into the billing software Setting up payments via company checks, EFT and ACH Communication and follow up with vendors and staff regarding outstanding A/P issues Collection, verification, and safeguard of the vendor/contractor tax certificates (W-8/W-9) Annual processing of tax information returns (1099-Misc) for qualified vendor payments Work in tandem and cross-train with billing coordinator and accounting manager Administrative support to the Controller and HR Administrator Ad hoc business assignments and tasks Job Type In office, full-time Schedule Monday to Friday Other Requirements Bachelor or Associate degree in Accounting, Business Mgt, or MIS 2-3 years of experience in the professional office environment Ability to commute and be punctual Excellent written, verbal, and interpersonal skills; attention to details Ability to multitask and work under pressure Strong MS Excel/Word/Outlook and Adobe Acrobat skills Being a dedicated team player Experience with Tabs3 software is a plus Green Key Resources
