Business Operations And Administrative Sales Support Specialist - Direct Hire

Our client is seeking an experienced Business Operations & Support Specialist to support sales, customer service, and operations in a fast-paced office environment. This role is critical to daily business functions including CRM management, billing and invoicing, eCommerce order processing, and operational support. This position is ideal for a highly organized, detail-driven professional who enjoys owning processes, working across departments, and contributing to business growth. Strong growth opportunity for an experienced individual looking to expand responsibilities.

Key Responsibilities:

  • Support sales and operations teams with daily administrative and operational tasks
  • Answer inbound calls and emails professionally
  • Communicate with customers regarding orders, payments, and account questions
  • Maintain accurate customer records and documentation
  • Update and maintain CRM records (customers, contacts, opportunities)
  • Enter leads, manage pipelines, and update deal stages
  • Run basic reports and support sales activity tracking
  • Ensure data accuracy and follow documented processes
  • Prepare and send customer invoices accurately and on time
  • Process credit card payments securely
  • Follow up on outstanding accounts receivable in a professional manner
  • Process incoming eCommerce orders accurately
  • Coordinate with operations and shipping teams to resolve issues
  • Respond to customer inquiries with a solution-focused mindset
  • Assist with pricing checks, product updates, and inventory accuracy
  • Maintain internal inventory and supply lists
  • Ensure office supplies are stocked and organized
  • Support daily office operations and assist team members as needed

Required Experience & Qualifications:

  • 7+ years of experience in business operations, administrative support, account support, or office management
  • Experience working with CRM systems (or ability to learn quickly)
  • Experience with invoicing, billing, or accounts receivable
  • Strong organizational skills and attention to detail
  • Professional phone and email communication skills
  • Ability to manage multiple priorities in a fast-paced environment

Preferred Experience:

  • CRM platforms (HubSpot or similar)
  • eCommerce order management
  • Data entry, reporting, and record maintenance
  • Billing, payments, and customer account follow-up
