Assistant Controller

Position SummaryThe Assistant Controller serves as the Controller’s second-in-command and leads the daily accounting operation across general ledger, accounts payable, accounts receivable, billing, and driver settlements. This role provides hands-on leadership, reviews accounting work, coordinates the month-end close, strengthens internal controls, and resolves routine accounting and employee escalations. The Assistant Controller supports accurate and timely multi-entity financial reporting while allowing the Controller to focus on higher-level financial oversight, audit and tax coordination, cash management, and partnership with the CFO and ownership team.Essential Duties and ResponsibilitiesSupervise, coach, and develop the AR & Billing Supervisor, GL/Staff Accountants, and Accounts Payable Specialists; establish priorities and provide timely feedback.Serve as the first point of escalation for routine accounting questions and issues involving AP, AR, billing, collections, driver settlements, reconciliations, and general ledger activity.Coordinate the monthly and year-end close calendar, monitor deadlines, identify delays, and provide regular status updates to the Controller.Review account reconciliations, standard and recurring journal entries, supporting schedules, intercompany activity, and identified financial variances for accuracy and completeness.Support the preparation and review of multi-entity financial statements and management reports in coordination with the Controller.Ensure accounting transactions are properly recorded in the general ledger and that supporting documentation is complete, accurate, and maintained according to company requirements.Monitor adherence to internal controls, accounting policies, approval procedures, and segregation-of-duties requirements; promptly escalate material exceptions.Oversee department workflows and staffing coverage to ensure critical responsibilities are completed during absences, vacancies, and peak workload periods.Develop, maintain, and review accounting SOPs, work instructions, close checklists, approval matrices, and cross-training plans.Partner with Operations and other departments to research discrepancies, improve communication, and resolve accounting-related issues in a timely and professional manner.Assist with external audit requests, tax schedules, banking activities, system implementations, and other special projects assigned by the Controller or CFO.Identify opportunities to improve accuracy, efficiency, reporting, and automation; lead approved process improvements and measure results.Track department performance measures and provide concise weekly or monthly updates regarding close progress, reconciliations, aging items, errors, backlogs, and improvement activity.Act on behalf of the Controller for routine matters during absences, within established authority and company policy.Maintain regular attendance and punctuality and perform other job-related duties as assigned.Leadership and Decision-Making AuthorityAssign and reprioritize daily accounting work based on deadlines and operational needs.Review and approve routine reconciliations and standard journal entries within established company guidelines.Address routine employee questions, coaching, attendance, and performance matters in partnership with Human Resources and the Controller.Resolve routine accounting escalations and elevate material, unusual, or policy-level matters to the Controller.Recommend changes to staffing, procedures, systems, controls, and department priorities.Required QualificationsBachelor’s degree in accounting, finance, or a related field preferred; an equivalent combination of education and directly related experience may be considered.Five to seven years of progressive accounting experience, including general ledger accounting, account reconciliations, journal entries, and month-end close.At least two years of direct supervisory experience or demonstrated responsibility leading an accounting team and reviewing the work of others.Experience working with multiple legal entities, intercompany activity, and consolidated or multi-company accounting processes.Strong understanding of accounting principles, financial statements, internal controls, and accounting process design.Advanced Microsoft Excel skills and proficiency with accounting/ERP systems; Microsoft Dynamics GP experience preferred.Ability to manage competing deadlines, organize work, identify risks, and follow issues through resolution.Strong judgment, attention to detail, problem-solving skills, and written and verbal communication abilities.Ability to maintain confidentiality and interact professionally with employees, vendors, customers, drivers, auditors, and leadership.Transportation industry experience preferred but not required.Preferred QualificationsCPA, CMA, or progress toward a professional accounting certification.Experience with transportation accounting systems, billing, driver settlements, or owner-operator accounting.Experience leading process improvement, system implementation, automation, or accounting control projects.Working Conditions and Physical RequirementsThis position primarily operates in a professional office environment and routinely uses computers, phones, and other standard office equipment. The employee is regularly required to sit, communicate, and use hands for computer and office work. The employee may occasionally be required to stand, walk, bend, and lift or move items weighing up to 25 pounds.
