Museum Archives & Records Intern - Digital Asset Pilot

The San Francisco Museum of Modern Art (SFMOMA) seeks an Archives and Records Management internship for Fall 2026. The internship is unpaid and requires proof of school credit. Schedule Fall 2026, duration based on school schedule, at least 3 hours per week, fully onsite. Internship Details This is an unpaid internship – applicant must provide proof for receiving school credit. Archives and Records Management The SFMOMA Archives collects, preserves, and provides reference access to the records that document the curatorial, educational, and administrative activities of the museum. The department also manages the museum’s Records Management Program. Position Description The internship provides a well‑rounded experience in archives and information science. The intern will work with the Archivist/Records Manager on a pilot project focused on centralizing access to artwork‑related documentation for objects accessioned into the museum’s art collection. Responsibilities include surveying and inventorying incoming born‑digital documents, uploading and describing documents into the museum’s digital asset management system, and ensuring that incoming information is reflected in the collection management system. Project Plan Get to know the SFMOMA Archives & Records Management Department Learn about the archives’ role and collections, particularly as it relates to artwork documentation. Meet the team and learn about each person’s role. Learn about museum object files Learn what constitutes an object record and the history and current use of object files. Become familiar with who contributes to object records and for what purposes. Receive training on systems and workflows Learn about the collections management system, digital asset management system, SharePoint, and network drive locations. Understand how these tools interconnect. Learn how to digitize archival materials. Compile digital object files Produce inventories and file maps for object files. Prepare files for upload into the digital asset management system. Upload, describe, and link files to the collections management system. Draft or update standards and procedures for collecting, organizing, uploading, and describing digital object records. End‑of‑internship outcomes Completed metrics report and project summary. Created or updated procedural documentation on archives, collections information, and digital asset management standards. Gained experience in records management, processing, collections information, and digital asset management in a museum context. Explored integrated workflows within Archives and Art Resources and related departments. Increased intellectual stewardship of records with enduring historical value. Educational Objectives Gain experience working at the intersection of archives and records management in a museum context. Gain experience in digitizing archival materials and processing digitized and born‑digital materials. Develop research, information management, and problem‑solving skills. Exercise communication and other soft skills required to work on cross‑divisional projects. Contribute to standards and procedures for describing object records. Introduce the intern to core competencies of the archives and records management professions through mentoring. Collaborate with colleagues within the Archives and Art Resources department. Qualifications & Skills Must be a current student in or recent graduate of a master’s‑level program in library science, records management/administration, museum studies, or related program. Detail‑oriented and extremely organized. Interest in archives and records management, specifically in a museum setting. Proficiency with Microsoft Office Suite, Microsoft 365 (including Teams and SharePoint), and task‑management applications such as Asana and Airtable.
