JOB SUMMARY: The HR Assistant provides comprehensive support to the Human Resources department while assisting with key office coordination and leadership administrative functions. This role supports recruitment, onboarding, compliance documentation, HRIS maintenance, employee engagement initiatives, and daily office operations. This position requires strong organizational skills, professionalism, discretion, and the ability to manage multiple priorities in a fast-paced manufacturing environment. ESSENTIAL DUTIES & RESPONSIBILITIES include the following, but not limited to: Recruitment & Onboarding Support Assist with recruitment activities including job postings, applicant tracking, interview scheduling, and candidate communication. Support screening processes and coordinate interview logistics. Prepare offer documentation and facilitate pre-employment processes (background checks, onboarding paperwork). Coordinate and facilitate new hire orientation and onboarding activities. HR Administration & Compliance Process employee changes including new hires, transfers, promotions, and terminations. Maintain employee personnel files and ensure accurate HRIS and ATS documentation. Assist with FMLA coordination, leave tracking, and call-off monitoring. Support benefits administration data entry and compliance documentation. Prepare reports including headcount updates, org charts, and HR metrics as requested. Serve as a first point of contact for general HR inquiries and direct employees appropriately. Employee Engagement & Event Support Assist in planning and executing employee engagement initiatives and company events. Support administration of employee recognition and goodwill programs. Assist with internship program coordination and participation in career fairs or recruiting events as needed. Office & Leadership Support Serve as a welcoming and professional first point of contact for visitors, candidates, and guests, ensuring compliance with security protocols. Conduct office tours for candidates and new employees. Coordinate conference room scheduling, meeting logistics, catering, and hospitality arrangements. Maintain organization of common areas and ensure meeting spaces are prepared for interviews and events. Assist organizational leadership with calendar coordination, meeting preparation, presentation materials, expense reporting, and occasional travel arrangements. Administrative Functions Draft and update job descriptions as needed. Maintain organized HR files, scanning, and recordkeeping. Support special projects and additional duties as assigned. SUPERVISORY RESPONSIBILITIES: None. TRAVEL DEMANDS: Occasional local travel may be required for recruiting events, internship coordination, or company functions. QUALIFICATIONS & REQUIREMENTS: Strong written and verbal communication skills. Excellent organizational skills and attention to detail. Ability to handle sensitive information with confidentiality and discretion. Ability to manage multiple priorities in a deadline-driven environment. Proficiency in Microsoft Office; experience with HRIS and ATS systems preferred. Professional demeanor with strong interpersonal skills. EDUCATION & EXPERIENCE: High school diploma required, associate or bachelor's degree in human resources, business administration, communications, or related field preferred. 1-3 years of HR, administrative, or office coordination experience preferred. Manufacturing or industrial environment experience is a plus. PHYSICAL DEMANDS: Prolonged periods of sitting at a desk and working on a computer. Must be able to lift up to 15 pounds occasionally. WORK ENVIRONMENT: This position operates primarily in a professional office environment within a manufacturing facility. This role requires regular interaction with the production floor, where exposure to moving mechanical parts, fumes, airborne particles, and varying noise levels may occur. Temperature conditions on the shop floor may fluctuate seasonally.
