Immigration Assistant

We are an established Corporate Immigration Law Firm seeking to hire an experienced Immigration Assistant for our office in North San Jose. This position requires a strong background in family-based immigration case processing, as the selected candidate must be able to step into that work with minimal training. The role will also involve employment-based immigrant visa matters, and training will be provided in that area. The ideal candidate will have at least two years of progressive immigration experience, including recent hands-on knowledge of current visa application processes, procedures, and agency requirements. Candidates must reside locally to accommodate on-site work requirements as needed. Essential Duties and Responsibilities Handle a variety of immigration matters by collecting information, preparing forms and supporting documentation, and assembling and filing immigrant petitions with USCIS. Prepare and process family-based immigration filings, including I-130, I-485, I-765, N-400, and related applications and petitions. Support employment-based immigrant visa matters, including I-140 and related filings, with training provided. Serve as a primary point of contact for clients, HR personnel, foreign nationals, immigration attorneys, and government agencies, managing cases from intake through adjudication. Maintain and proactively monitor the firm’s case management system, ensuring the accuracy of client data, case notes, action items, and critical deadlines. Identify issues, anticipate risks, and elevate complex case matters appropriately while recommending practical solutions. Stay current on immigration law developments, policy changes, and procedural updates, particularly those affecting immigrant visa processing. Position Requirements Bachelor’s degree and/or Paralegal Certificate required. Minimum of two years of recent, full-time immigration legal experience required. Strong hands-on experience with family-based immigration matters, including preparation and filing of petitions and applications from start to finish. Experience with employment-based immigrant visa matters is a plus but not required. Working knowledge of current USCIS procedures and consular processing requirements preferred. Proven ability to prepare accurate, high-quality, detail-intensive filings efficiently in both electronic and paper-based environments. Strong written and verbal communication skills, with the ability to interact professionally with foreign nationals, corporate stakeholders, attorneys, and government personnel. Strong organizational and time-management skills, with the ability to manage multiple cases simultaneously while consistently meeting firm service expectations. Intermediate proficiency in Windows, Microsoft Office applications including Excel, Word, and PowerPoint, and common business tools such as Adobe Acrobat, document scanning, and cloud-based software.
