Full-Time | Onsite
Schedule: Monday–Friday, 8:00 a.m.–5:00 p.m.
Salary Range: $49,100–$53,900 annually

ABOUT CLAYPOOL ELECTRIC
Claypool Electric, Inc. is a commercial and industrial electrical contractor headquartered in Lancaster, Ohio. We are seeking an experienced, detail-oriented Payroll & HR Assistant to support our payroll and human resources operations.

This is a payroll-focused position, with approximately 80% of the role dedicated to payroll administration and 20% dedicated to human resources support. The successful candidate must have prior experience with prevailing-wage and certified payroll in a construction environment.

POSITION SUMMARY
The Payroll & HR Assistant is responsible for supporting the accurate and timely processing of payroll, including reviewing employee time, labor classifications, prevailing-wage requirements, job-cost allocations, deductions, and other payroll information.

This position will also provide administrative support for employee onboarding, personnel records, benefits, employee status changes, and other routine HR functions.

The ideal candidate has hands-on construction payroll experience, understands the importance of accurate labor and job-cost coding, and can manage recurring deadlines while maintaining the confidentiality of employee and payroll information.

ESSENTIAL RESPONSIBILITIES
Payroll Administration – Approximately 80%
  • Collect, review, audit, and enter employee timecards and payroll information by established processing deadlines.
  • Process payroll accurately and timely in accordance with company procedures and applicable wage-and-hour requirements.
  • Review regular hours, overtime, paid time off, bonuses, reimbursements, deductions, garnishments, and other payroll adjustments.
  • Administer prevailing-wage and certified-payroll requirements for applicable construction projects.
  • Verify employee labor classifications, wage determinations, fringe-benefit requirements, apprenticeship information, and applicable project rates.
  • Prepare, review, and maintain certified-payroll reports and supporting documentation.
  • Monitor prevailing-wage updates and help ensure that employees are paid according to the appropriate project, trade, classification, and wage determination.
  • Review employee time and labor distributions for accurate job, project, phase, department, and cost-code allocation.
  • Identify missing, incomplete, duplicate, or unusual time entries and coordinate with employees, supervisors, project managers, and field leaders to resolve discrepancies.
  • Audit payroll information for accuracy before payroll is submitted for final approval.
  • Maintain employee payroll records, including pay rates, tax withholding forms, direct-deposit information, deductions, benefit elections, garnishments, and employee status changes.
  • Process payroll changes resulting from new hires, terminations, promotions, transfers, leaves of absence, rate adjustments, and other employment actions.
  • Reconcile payroll records, payroll deposits, deductions, benefit contributions, tax withholdings, and other payroll-related transactions.
  • Assist with payroll reporting, general-ledger reconciliation, labor-cost reporting, job-cost reporting, quarterly activities, and year-end processing.
  • Assist with W-2 distribution, wage-verification requests, payroll audits, and responses to government or regulatory inquiries.
  • Respond professionally to employee questions regarding paychecks, timekeeping, deductions, direct deposit, payroll forms, and related matters.
  • Maintain organized and confidential payroll files in accordance with applicable record-retention requirements.
  • Remain current on payroll practices and applicable federal, state, local, and prevailing-wage requirements.
Human Resources Support – Approximately 20%



 
  • Coordinate new-hire onboarding and ensure required employment documentation is completed accurately and timely.
  • Assist with the collection and processing of I-9 documentation, tax forms, direct-deposit information, handbook acknowledgments, benefit forms, and other onboarding materials.
  • Maintain accurate, organized, and confidential electronic and paper personnel files.
  • Enter and update employee information in applicable payroll, HR, timekeeping, and benefits systems.
  • Assist with job postings, applicant tracking, interview scheduling, candidate communications, and other recruiting activities.
  • Process approved employee status changes, including promotions, pay changes, transfers, leaves of absence, and separations.
  • Assist with benefit-enrollment administration, deduction changes, employee questions, and communications with benefit vendors or brokers.
  • Support the tracking of employee licenses, certifications, apprenticeship progression, training, and other workforce credentials.
  • Prepare routine employee correspondence, reports, spreadsheets, and internal communications.
  • Provide timely, professional, and respectful assistance to employees while maintaining appropriate confidentiality.
  • Perform other payroll and HR administrative duties as assigned.
REQUIRED QUALIFICATIONS



 
  • Prior experience processing prevailing-wage and certified payroll in a construction environment.
  • Practical knowledge of prevailing-wage requirements, wage determinations, labor classifications, fringe benefits, and certified-payroll reporting.
  • Payroll-processing experience involving employee time, overtime, deductions, taxes, benefit contributions, and payroll adjustments.
  • Experience reviewing labor distributions and job-cost coding for construction projects.
  • Strong numerical accuracy, attention to detail, organization, and follow-through.
  • Ability to identify payroll discrepancies and resolve them before processing deadlines.
  • Ability to manage recurring deadlines and multiple priorities without sacrificing accuracy.
  • Proficiency with Microsoft Outlook, Word, and Excel, including data entry, sorting, filtering, and basic formulas.
  • Ability to handle payroll, personnel, medical, benefits, and other confidential information appropriately.
  • Strong written and verbal communication skills.
  • High school diploma or equivalent.
  • Ability to work onsite in Lancaster, Ohio, Monday through Friday
PREFERRED QUALIFICATIONS



 
  • Experience using Vista by Viewpoint for construction payroll, accounting, HR, or job-cost administration.
  • Experience processing payroll for an electrical contractor or another commercial or industrial construction employer.
  • Experience with multi-state payroll, union payroll, apprenticeship programs, or multiple labor classifications.
  • Experience reconciling payroll transactions, deductions, taxes, benefit contributions, and general-ledger accounts.
  • Associate degree or additional coursework in payroll, accounting, human resources, business administration, or a related field.
  • Experience with payroll, HRIS, timekeeping, accounting, or job-cost software.
SUCCESS IN THIS POSITION

Success in this role means:
  • Payroll is processed accurately and on time.
  • Prevailing-wage and certified-payroll requirements are completed correctly and supported by organized documentation.
  • Employee time, labor classifications, wage rates, and job-cost allocations are reviewed carefully before payroll processing.
  • Payroll discrepancies are identified early, investigated, and communicated to the appropriate reviewer.
  • Employee payroll and personnel records remain accurate, current, organized, and confidential.
  • Employees receive timely and professional assistance with routine payroll and HR questions.
  • Onboarding, employee-change, benefits, and separation documentation is collected and processed promptly.
COMPENSATION AND BENEFITS
Claypool Electric offers an annual salary range of $49,100–$53,900, based on the selected candidate’s relevant payroll experience, prevailing-wage knowledge, construction-industry experience, and systems proficiency.
