Human Resources Coordinator

Posts and maintains employment advertisements; coordinates internal postings in accordance with collective bargaining agreements and organizational procedures. Reviews employment applications timely. Schedules and prepares interview materials and candidate documentation. Conducts employment reference checks. Coordinates candidate communications and documentation throughout the hiring process. Assists with recruitment events, career fairs, and community outreach. Onboarding & Employee Records Coordinates all pre-employment requirements. Prepares new hire and orientation materials. Coordinates and schedules employee orientation. Processes new hires, transfers, promotions, status changes, and separations within HRIS. Processes employee demographic and payroll-related changes. Maintains complete and accurate employment records in accordance with regulatory requirements. Benefits Coordination Assists employees with routine benefit inquiries; serves as a liaison between employees and benefit vendors. Assists with annual open enrollment activities. Leave Administration Support Assists the Human Resources Manager with administration of employee leaves of absence. Maintains leave tracking, tracks required documentation and certification deadlines, and updates HRIS leave records. Coordinates return-to-work documentation. HRIS & Compliance Maintains current, accurate employee information within HRIS. Performs HRIS audits and data validation. Assists with compliance reporting. Tracks: licenses, CPR certifications, required education, background checks, annual compliance requirements. Human Resources Administration Support Responds and assists employees with routine questions and employee HRIS access. Schedules meetings and maintains HR calendars. Prepares reports and spreadsheets. Maintains HR forms and templates. Active member of the Marketing Committee. Assists with employee recognition programs. Assists with employee events. Payroll Support & Reporting Serves as backup to the Payroll Generalist to ensure continuity of payroll operations. Enters and processes employee personnel action forms ("green slips") accurately and timely. Maintains payroll records and the supporting documentation in accordance with company policy and regulatory requirements. Reviews, enters, and verifies employee timecards to support accurate payroll processing. Assists with payroll-related employee status changes, deductions, and record maintenance. Collects employee café charges and accurately records charges on the café worksheet for payroll deduction purposes. Serves as backup for PBJ data collection, validation, and reporting activities. Assists with payroll audits, reconciliations, and reporting. Maintains confidentiality of payroll and employee information. General Department Support Provides exceptional customer service to employees and applicants. Maintains strict confidentiality of personnel information. Cross-trains with Human Resources Manager to ensure continuity of operations. Performs other duties as assigned. Qualifications Experience Preferred Experience with HRIS software, UKG preferred 1 year: 2 years: 2 years: Human Resources or administrative experience. Associate degree in Human Resources, Business Administration, or related field preferred. Equivalent combination of education and progressively responsible Human Resources experience may be considered.
