Administrative Assistant - Georgetown
On-site, no remote work
Schedule: 10 hr shifts Wednesday - Saturday (off: Sunday - Tuesday)
Job Summary
The Administrative Assistant - Georgetown assists with maintaining site reports in compliance with city, state, and federal regulations, processes driver paperwork, and handles cash reconciliation and bank deposits for the gatehouse and Gardenville. This position works with the Safety Department to process uniform orders for all Operations and Maintenance employees at the Georgetown site, updates payroll and human resources information, as directed, and serves as the point of contact for anyone inquiring about Georgetown operations. The Administrative Assistant - Georgetown is a hybrid role and will serve as a Gatehouse agent every Saturday and occasional weekdays as needed.
Core Responsibilities
- Maintains site reports in compliance with city, state and federal regulations pertaining to the transfer station.
- Maintains a filing system for documents and personnel files.
- Processes, distributes and files confidential and sensitive documents.
- Drafts routine reports, e.g. free dump day, total COSA tonnage YTD, yard and container inventory.
- Obtains purchase orders (PO) approvals when needed.
- Assist with processing driver paperwork.
- Collects payments from customers via mail, scale house and drop offs, and updates accounts and transports deposits to the bank.
- Operates office equipment, including but not limited to a PC, scanner, copier, fax machine, tablets, two-way radios, video monitors, and multi-line phone system.
- Orders and assigns work uniforms for employees at the facility.
- Maintains inventory and safety supplies for the office.
- Assures that tablets, phone, two-way radios are functioning, updated, and issued correctly.
- Checks on routing, route statuses, work orders, and tickets as needed by drivers and management.
- Assists drivers with questions on routes, check for pictures, pull up notes or maps for accounts.
- Prints route sheets and makes temporary route changes when suggested by the Facility Manager or supervisor.
- Works in the Gatehouse as a Gatehouse attendant every Saturday.
- Updates payroll when the Facility Manager is out.
- Maintains spreadsheets such as gate codes and trash limits, employee contact information, container inventory control and others.
- Relieves the scale house attendant, as needed.
- Attends monthly safety meetings and weekly site meetings.
- Monitors and responds to "Georgetown Operations" emails.
- Answers incoming phone calls.
- Report operations issues to the Facility Operations Manager and Site Director.
- Monitors video surveillance at the site.
- Maintains the HR "Health Board."
- Other duties as assigned.
Required Skills & Qualifications
- High school diploma or its equivalent
- At least three years' experience doing clerical or administrative work.
- Working knowledge of office administration practices and the ability to use standard office equipment phone, computer, scanner, fax machine.
- Ability to work independently with minimal or no supervision
- Basic math skills
- Ability to follow instructions
- Able to work independently, manage priorities and workload
- Proficiency with the Microsoft Office suite
- Professional phone and personal etiquette
- Verbal and written fluency in English
Licenses & Certifications
- Valid Class C driver's license
- Safe driving record for the last 3 years.
$15 per hour
