Job Description
The Revenue Services Specialist is responsible for overseeing and supporting all community finance operations for a designated region of Harmony Senior Services communities. This role operates within a centralized model and partners closely with community leadership, regional teams, and the Home Office.

The Revenue Services Specialist is responsible for census accuracy, payer data integrity, billing, accounts receivable, and accounts payable, ensuring consistency, compliance, and financial accuracy across all assigned communities.

Essential Functions:

Community Finance Operations

• Oversee all finance and administrative functions for assigned communities

• Ensure consistency in policies, procedures, and internal controls across all supported communities

• Serve as the primary resident account contact for community leadership and Home Office departments

• Provide guidance, training, and ongoing support to community-based staff related to community finance processes

• Ensure compliance with company standards, regulatory requirements, and audit expectations

Census & Payer Data Management

• Ensure accurate and timely census tracking across all assigned communities, including move-ins, move-outs, residents on leave of absence (LOA), unit transfers, and residents on notice

• Verify proper setup, status changes, and supporting documentation in the property management system

• Ensure accuracy of resident payer data across all assigned communities, including payer type, rate structure, billing responsibility, and effective dates

• Partner with community leadership, Sales, and Operations to confirm census is reflected accurately and consistently

• Monitor census, occupancy, and payer reports to identify discrepancies and proactively resolve issues that may impact billing or revenue recognition

• Support accurate and timely billing by ensuring census status, payer data, and resident contracts are properly aligned

Accounts Receivable

• Oversee resident billing, collections, and payment processing for assigned communities

• Validate payer information and billing setups to ensure statements are generated accurately and consistently

• Monitor AR aging and proactively address delinquencies, payment plans, and collection efforts

• Conduct weekly and/or monthly AR reviews, as needed, with identified focus communities to address aging, trends, and collection challenges

• Partner with community leadership to develop action plans for AR improvement and follow-up

• Ensure accurate application of payments, credits, and adjustments

• Collaborate with community teams to resolve resident and family billing questions

• Support month-end close

Accounts Payable (AP)

• Monitor and assist with the purchase order (PO) process at the community level, ensuring proper documentation and approvals

• Act as a gatekeeper to ensure AP workflows are not bottlenecked and are completed efficiently from PO entry through payment

• Partner with community staff to troubleshoot issues, provide guidance, and maintain smooth process flow

• Oversee weekly and monthly reconciliation of community P-cards, ensuring proper coding, receipt documentation, and compliance with spending policies
