Your Role The Human Resources Coordinator provides essential administrative and coordination support across core Human Resources functions. This role ensures the accurate, timely, and compliant execution of HR processes while delivering a positive employee experience. The Human Resources Coordinator supports the employee lifecycle by managing HR administration, documentation, data entry, reporting, and coordination of programs such as onboarding, benefits, recruitment, training, and employee records. This position serves as a first point of contact for routine and specialized HR inquiries and plays a critical role in maintaining operational efficiency within the Human Resources team. - Serve as a first point of contact for employees and managers regarding routine and specialized HR inquiries, escalating issues as appropriate.
- Maintain accurate and up-to-date employee records in HR systems and personnel files.
- Prepare HR-related documentation including employment letters, contracts, onboarding materials, and status change documents.
- Manage employee lifecycle activities including onboarding, transfers, leaves of absence, and offboarding.
- Respond to general HR questions, escalating issues as needed, while ensuring confidentiality and professionalism.
- Support employees and managers with HR policies, procedures, and any applicable specific employment standards that could be tied to a state or province.
- Assist or lead activities related to employee relations matters, investigations, and conflict resolution.
- Coordinate events, meetings, employee recognition activities, and development sessions.
- Participate in ad hoc HR meetings, projects, and continuous improvement initiatives.
- Manage employee Travel & Expense credit card process. Act as vendor system administrator and determine eligibility, initiate card order and card cancellation.
- Assist with job postings, interview scheduling, reference checks, and offer letter preparation.
- End to end ownership responsibility to coordinate new hire onboarding activities including system access, orientation scheduling, and documentation completion.
- Ensure all pre-employment and onboarding requirements are completed accurately and on time. Responsible to review and adjudicate background check for all candidates prior to hire.
- Manage process of acquiring, managing and exiting contract/temporary employees. Maintain relationship with contract labor vendors.
- Ensure documentation is complete and compliant for all Driver Qualification files.
- Support benefits administration by assisting with enrollments, changes, terminations, and responding to routine employee questions.
- Coordinate benefit documentation and liaise with benefits vendors as required.
- Support payroll processes by submitting accurate employee data changes and assisting with audits and reconciliations.
- Assist with Workers' Compensation claims, Short Term and Long Term Disabilities, medicals, and leave-related follow-up.
- Enter and maintain employee data in HRIS systems (e.g., Workday).
- Generate standard HR reports related to headcount, turnover, training, and compliance and ad hoc reports as requested.
- Support data integrity through regular audits and validation of HR records.
- Ensure HR processes and documentation comply with employment legislation, corporate policies, and record retention requirements.
- Maintain HR files and documentation in accordance with confidentiality and privacy standards.
- Support audits and compliance reporting as required.
- Manage pre-employment, for cause and random drug/alcohol testing program (USA) and background checks for Canada. For Canada background checks to be completed by the Talent Acquisition Specialist with this role doing it as a back up.
- Post-secondary education or diploma in Human Resources, Business Administration, or a related field preferred.
- <4 years of experience in an HR administrative or coordination role preferred.
- Working toward an HR designation (SHRM in the U.S.; CHRP or CHRL in Canada) considered an asset.
- Experience with DOT compliance preferred
- Experience in fast-paced, high volume environments preferred
- Experience using an HRIS (Workday preferred).
- Proficiency with Microsoft Office (Excel, Word, PowerPoint).
- Ability to manage data accurately and maintain organized electronic and physical files.
- General understanding of Human Resources processes including recruitment, onboarding, benefits, and employee records.
- Basic awareness of employment legislation and confidentiality requirements.
- Ability to follow established procedures and escalate concerns appropriately.
- Strong organizational and time-management skills with attention to detail.
- Effective written and verbal communication skills.
- Ability to handle confidential information with professionalism and discretion.
- Strong customer service mindset and ability to work collaboratively.
- Comfortable managing multiple priorities in a fast-paced environment.
