Position Summary

The Accounting Manager reports directly to the Executive Director and is responsible for the day-to-day accounting operations of the Association. This position serves as the operational leader for the Association's accounting functions, ensuring accurate financial records, timely reporting, strong internal controls, and efficient financial processes.

Working closely with the Executive Director, the Accounting Manager supports the financial management of a nationwide membership organization by maintaining accounting records, preparing financial reports, administering payroll, managing cash receipts and disbursements, and assisting with budgeting, audits, and compliance. This position also collaborates with staff across the organization to support membership, events, grants, and other Association programs.

The ideal candidate is highly organized, detail-oriented, self-directed, and capable of managing multiple priorities while maintaining exceptional accuracy and customer service.

Responsibilities:

Accounting Operations

• Manage the Association's daily accounting functions, including accounts payable, accounts receivable, cash receipts, deposits, general ledger activity, and monthly reconciliations.
• Prepare and post journal entries and maintain accurate accounting records.
• Reconcile bank accounts, credit card accounts, investment activity, and other balance sheet accounts.
• Ensure all intercompany activity is fully documented and accounts are reconciled monthly.
• Maintain the general ledger and chart of accounts in accordance with Generally Accepted Accounting Principles (GAAP).
• Process employee expense reimbursements and corporate credit card reconciliations.
• Monitor cash balances and communicate cash flow needs and trends to the Executive Director.
• Ensure all financial transactions are properly documented and recorded.

Financial Reporting

• Prepare monthly financial reports and supporting schedules for review by the Executive Director.
• Research account variances and resolve discrepancies in a timely manner.
• Prepare recurring financial analyses and reports to support operational decision-making.
• Assist with maintaining financial dashboards and key performance metrics.

• Payroll and Benefits Administration

  • Submit payroll accurately and on schedule to third-party processor.
  • Maintain payroll records and reconcile payroll-related accounts.
  • Coordinate payroll tax reporting and benefit deductions with third-party processor.
  • Manage employee benefit administration and retirement plan contributions.

  Budget Support and Financial Planning

  • Assist the Executive Director in preparing the annual operating budget.
  • Monitor departmental expenditures and prepare budget-to-actual reports.
  • Work with department managers to track project and program budgets.
  • Assist with forecasting revenue and expenditures throughout the fiscal year.

  Audit, Compliance, and Internal Controls

  • Prepare schedules and supporting documentation for the annual independent audit.
  • Assist with preparation of IRS Form 990 and other required regulatory filings.
  • Maintain documentation supporting internal controls and accounting procedures.
  • Ensure compliance with organizational financial policies and grant requirements.
  • Recommend process improvements that enhance efficiency and strengthen internal controls.

• Program and Department Support

  • Partner with staff responsible for membership, meetings, educational programs, sponsorships, publications, and special projects to ensure accurate financial tracking.
  • Reconcile event registrations, sponsorship revenue, and program expenses.
  • Assist departments with financial reporting and budget monitoring.
  • Provide excellent internal customer service by responding promptly to accounting-related questions from staff and volunteer leaders.

  Systems and Process Improvement

  • Maintain accounting software records and assist with system upgrades or enhancements.
  • Identify opportunities to streamline workflows and improve financial reporting processes.
  • Assist with implementation of new accounting procedures and technology solutions.
  • Develop and maintain accounting procedure documentation.

  Team Collaboration

  • Work in close partnership with the Executive Director to ensure the financial integrity of the Association.
  • Serve as a dependable resource by independently managing assigned responsibilities while keeping the Executive Director informed of significant issues, risks, and opportunities.
  • Provide cross-training and operational support to ensure continuity of finance functions.
  • Perform other duties as assigned in support of the Association's mission and strategic objectives.

  Additional Responsibilities

  • Oversight of annual convention and event accounting (registrations, exhibitors, sponsorships, and settlements)
  • Membership dues revenue recognition and deferred revenue tracking
  • Grant and restricted fund accounting
  • Coordination with affiliated state associations or foundations (if applicable)
  • Financial support for volunteer committees and board meetings
  • Assist with tying our event registration system (Cvent) to our accounting ledger.

  Qualifications (Required):

  • Bachelor's degree in Accounting, Finance, or a related field.
  • Five (5+) or more years of progressively responsible accounting experience.
  • Strong understanding of GAAP and accounting best practices.
  • Experience with accounts payable, accounts receivable, payroll, reconciliations, and financial reporting.
  • Advanced proficiency in Microsoft Excel and Microsoft Office Suite.
  • Experience using accounting and financial management software.
  • Excellent organizational, analytical, and problem-solving skills.
  • Strong attention to detail with the ability to maintain confidentiality.
  • Ability to prioritize multiple projects while meeting deadlines with minimal supervision.
  • Excellent written and verbal communication skills.
  • Demonstrated ability to work collaboratively in a small team environment.

  Qualifications (Preferred):

  • CPA designation or progress toward certification preferred
  • Experience working in a nonprofit, trade association, agricultural, or membership-based organization.
  • Experience with audit preparation and Form 990 support.
  • Knowledge of grant accounting and restricted funds.
  • Experience with membership management or association management software.

  FLSA : hourly, non-exempt

  Schedule : 8:00 am- 5:00 pm, Monday- Friday

  Salary : $70,000- $90,000 annually, depending on experience (DOE)
